About The Position

We are looking for a Property Administrator following a recent transition within the role. This Property Administrator will provide administrative support to ensure the efficient day-to-day operations of the assigned property portfolio. Working closely with Property Managers and the broader team, this role supports tenant and stakeholder communications, maintains accurate records and data, and assists with coordinating service and financial processes. The Property Administrator plays an important role in helping maintain compliance, organization, and a high level of client satisfaction.

Requirements

  • College diploma in Business Administration, Office Administration, or a related field.
  • Minimum 2 years of administrative experience; property management experience is an asset.
  • Experience with Yardi or similar property management software preferred.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook) and data management systems.
  • Excellent written and verbal communication skills with a professional, customer-focused approach.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.
  • Knowledge of property management, condominium, or non-profit housing operations is an asset.
  • Ability to handle confidential information with discretion and professionalism.

Responsibilities

  • Provide administrative support to Property Managers, including responding to inquiries from residents, owners, vendors, and stakeholders in a professional and timely manner.
  • Prepare and distribute correspondence, notices, and property communications
  • Maintain accurate records, databases, and digital files, including updating owner and tenant information in our Property Management software.
  • Coordinate service requests, schedule vendors and contractors, and assist with vendor onboarding.
  • Process cheque requisitions, submit invoices for payment, and liaise with Accounting to resolve discrepancies.
  • Support move-in and move-out coordination, including elevator bookings and related documentation.
  • Assist with the preparation and distribution of financial reports, meeting materials, and compliance documentation.
  • Track key dates, service schedules, and regulatory requirements to support property compliance.
  • Provide client and site support, including addressing resident inquiries and attending site visits or meetings as required.
  • Prioritize tasks, manage multiple deadlines, and escalate issues appropriately to support smooth property operations.
