About The Position

This is a non-benefited position not to exceed 1,000 hours in a calendar year. The Projects and Grants Coordinator will provide coordination and administrative support for key 4D projects, programs, and initiatives. The role will focus on supporting the Resilience Lab and Compassion Lab, managing logistics and coordination for The Resilient Scientist Series, Compassion Lab immersive experiences, Lab networks and related partnerships, and 4D trainings and workshops. Additionally, the Coordinator will track expenditures and allocations related to grant and gift funding, maintain financial records, monitor budgets, support grant report preparation, and assist in documenting program outcomes and impact metrics. The role also involves supporting the end-to-end planning and execution of major 4D conferences and events, promoting 4D opportunities and impact through various communication channels, and organizing participation and outcomes data for newsletters.

Requirements

  • Bachelor’s degree
  • Strong organizational and administrative experience with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • Proficiency with standard office and collaboration tools (e.g., Microsoft Office, Excel, Teams)
  • Strong project and event management skills, including coordination of multiple programs, initiatives and timelines
  • Effective written and verbal communication skills for outreach, facilitation, presentations, and storytelling
  • Ability to collaborate and communicate with both internal and external stakeholders, including administrators, faculty, staff, students, and external partners
  • Proficiency in using technology platforms for communication and data sharing and tracking
  • Familiarity with data collection, assessment, and program evaluation methods
  • Understanding of budget and records management
  • Strong organizational, interpersonal, and problem‑solving abilities with attention to detail and follow‑through

Nice To Haves

  • Master’s degree completed or in progress in higher education, nonprofit management, public policy, or a related field
  • Large event or conference planning experience
  • Experience with budgeting, financial tracking, or grant administration
  • Familiarity with project management frameworks and tools

Responsibilities

  • Provides coordination and administrative support for key 4D projects, programs, and initiatives.
  • Manages logistics and coordination for The Resilient Scientist Series, Compassion Lab immersive experiences, Lab networks and related partnerships, and 4D trainings and workshops.
  • Schedules and coordinates logistics for meetings, workshops, and events.
  • Manages communication with participants, speakers, and partners.
  • Prepares program materials, agendas, and follow-up documentation.
  • Supports tracking of participation, engagement, and program outcomes.
  • Maintains organized records and shared resources across initiatives.
  • Tracks expenditures and allocations related to grant and gift funding across 4D initiatives.
  • Maintains accurate and up-to-date financial records in coordination with internal finance teams.
  • Monitors budgets to ensure compliance with grant requirements and funding restrictions.
  • Supports the preparation of grant reports, collecting and organizing data and documenting budgets.
  • Assists in documenting program outcomes and impact metrics for funders and stakeholders.
  • Supports the end-to-end planning and execution of major 4D conferences and events, including the 4D Symposium and the National LearningWell Coalition Conference at DU.
  • Assists with project planning timelines and milestone tracking for conferences and events.
  • Coordinates logistics and/or works with DU Conference and Events staff or other stakeholders where applicable.
  • Supports alignment and communication for conferences and events.
  • Prepares event materials (programs, schedules, briefing documents).
  • Provides onsite or virtual event support.
  • Assists with post-event follow-up, including evaluations and reporting.
  • Promotes 4D opportunities and impact through contributing to reports, assessments, and strategic planning.
  • Organizes participation and outcomes data for communication through 4D newsletters and other university newsletters.
