About The Position

Adams, Inc. is a family-owned construction-trades company seeking a full-time Project Support Specialist to join their team in Morris, IL. This role is crucial for preparing contracts and projects for Production, ensuring seamless project execution by collecting information, managing documentation, building projects in ServiceTitan, and coordinating administrative tasks. The ideal candidate will be detail-oriented, organized, and possess effective communication skills for interdepartmental collaboration.

Requirements

  • High school diploma or equivalent
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office applications including Word, Excel and Outlook.
  • Ability to solve practical problems and deal with a variety of concrete variables.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Must be able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Mastery of business English language skills to read, analyze, and interpret information, policies and procedures, and/or governmental regulations.
  • Able to write reports and business correspondence.
  • Regularly required to talk or hear.
  • Frequently required to sit, stand, walk, and use hands.
  • Must occasionally lift and/or move up to 10 pounds of weight.
  • Specific vision abilities this job requires include close vision and the ability to adjust focus.

Nice To Haves

  • Proficiency in ServiceTitan or similar project management software is preferred.
  • Experience in administrative support, project coordination, or a related field is preferred.

Responsibilities

  • Assist in creating and distributing proposals to clients.
  • Set up new projects in ServiceTitan following contract approval.
  • Upload and organize all relevant documents and images to the Project, Job, or Location in ServiceTitan.
  • Coordinate deposit collection by either creating tasks for the Finance Team or sending invoices directly to clients.
  • Prepare necessary job site paperwork, such as Certificates of Insurance (COIs), W-9s, and client-specific documents.
  • Update project statuses as necessary.
  • Apply for new services with utility companies when applicable.
  • Handle the application process for required work permits, including requesting checks for permit fees and coordinating with municipal inspectors.
  • Schedule utility disconnects and reconnections as directed by contracts, specifically for generator and solar projects.
  • Coordinate utility inspections to ensure compliance.
  • Submit Diggers Hotline requests online when necessary.
  • Upload digger documents into the project, ensuring they are later added to the job for field technicians to access.
  • Communicate the completion of digger-related tasks to the appropriate team members.
  • Maintain clear and timely communication with relevant departments to ensure all project-related tasks are completed efficiently.
  • Serve as a liaison between various stakeholders to ensure that project requirements are met and timelines are adhered to.
  • Assist walk-in and call-in customers with paying bills.
  • Assist with deliveries to the shop, including occasionally operating a forklift (training and certification provided).
