About The Position

Post Services is hiring a full-time Project Coordinator to help keep our projects organized, on schedule, and moving forward. We are looking for someone who is organized, dependable, detail-oriented, and comfortable managing multiple priorities. This position works closely with project managers, clients, subcontractors, vendors, and our internal team to coordinate schedules, documentation, communication, and day-to-day project needs.

Nice To Haves

  • Previous project coordination or administrative experience
  • Construction, remodeling, restoration, property services, or similar industry experience
  • Experience coordinating subcontractors or vendors
  • Familiarity with permits, inspections, construction documentation, or estimating/project management software
  • Experience with CRM or project management software is preferred. Experience with Houzz Pro is a plus.

Responsibilities

  • Coordinate project schedules, appointments, site visits, inspections, and other project activities
  • Maintain accurate project and customer information in Houzz Pro and our CRM
  • Communicate with clients, project managers, subcontractors, vendors, and internal team members
  • Track project progress and follow up on outstanding items
  • Maintain accurate project files and documentation
  • Prepare and process work orders, proposals, change orders, and other project documents
  • Assist with permit applications, inspections, and required paperwork
  • Coordinate subcontractor and vendor scheduling
  • Track material orders, deliveries, and project-related purchases
  • Provide clients with project updates as needed
  • Identify missing information, scheduling conflicts, or potential delays and communicate them to the appropriate team member
  • Assist project managers with administrative and coordination tasks
  • Help ensure projects are properly documented from start through completion
