About The Position

The Project Operations Coordinator supports the internal operational systems that enable the successful delivery of Energy Project Partners’ services. This role focuses on coordinating project information, schedules, reporting, and operational resources to ensure projects are properly structured and supported within the company’s enterprise systems. Unlike traditional project management roles that directly oversee field execution, this position operates as the internal coordination hub for project delivery, supporting Senior Project Managers and leadership by ensuring accurate project setup, documentation, scheduling coordination, and reporting. This role is well suited for professionals with backgrounds in operations, logistics, or coordination who are transitioning into project management and developing formal project management skills. The position is hybrid, with a requirement to report to EPP’s Collierville, Tennessee office at least four days per week.

Requirements

  • Bachelor’s degree in Business, Engineering, Construction Management, Project Management, or related field.
  • 2–5 years of experience in operations coordination, logistics management, project coordination, or similar operational roles.
  • Strong organizational and communication skills with the ability to coordinate multiple workstreams.
  • Proficiency with Microsoft 365 tools including Excel, Word, Teams, and SharePoint.

Nice To Haves

  • Experience supporting major capital construction projects.
  • Experience with client relationship coordination, resource management, and executive or management-level reporting.
  • Experience coordinating the deployment or utilization of operational equipment or field assets within project-based organizations.
  • Familiarity with project management or ERP systems such as Deltek Vantagepoint, Primavera, or Microsoft Project.
  • CAPM certification (or active pursuit of CAPM) or equivalent project management training.

Responsibilities

  • Coordinate internal workflows that support the delivery of client projects.
  • Support Senior Project Managers by tracking project tasks, deliverables, and action items.
  • Assist with preparation of project status reports and internal management reporting.
  • Maintain organized project documentation and communication records.
  • Assist with project setup and administration within Deltek Vantagepoint.
  • Maintain project schedules, resource assignments, budgets, and billing terms within the system.
  • Ensure project data integrity across operational and financial systems.
  • Support development and maintenance of internal project reporting dashboards.
  • Assist with coordination of proposal preparation and Statements of Qualifications (SOQs).
  • Compile project schedules, staffing inputs, and operational assumptions for proposals.
  • Maintain proposal templates and supporting documentation.
  • Maintain organized documentation related to project contracts and service agreements.
  • Track project change notices and change orders.
  • Ensure project records and correspondence are properly maintained.
  • Assist with review of project timesheets prior to billing.
  • Support preparation and coordination of client invoicing packages.
  • Maintain documentation supporting billing and financial reporting.
  • Coordinate the deployment and tracking of intercompany operational assets, including company vehicles, drones, field inspection equipment, and other specialized resources.
  • Work with field operations and resource managers to ensure assets are assigned to projects in alignment with staffing plans and project schedules.
  • Maintain visibility into asset utilization across projects and divisions to ensure efficient allocation and minimize idle resources.
  • Coordinate with internal teams responsible for asset ownership, maintenance, insurance, and logistics to ensure equipment readiness and compliance with company policies.
  • Support internal reporting on asset deployment and utilization across projects to assist leadership in evaluating operational efficiency.
