Project Operations Coordinator

Azenta•Plainfield, IN

About The Position

The Project Operations Coordinator supports end-to-end execution of customer-site and strategic sample management projects, from opportunity assessment and implementation planning through operational delivery, transition, and closeout. The role connects project management, field operations, data management, quality, training, and commercial stakeholders to ensure work is planned accurately, launched effectively, executed safely, and completed with clear documentation and measurable outcomes. It is a hands-on coordination and subject-matter role across multiple concurrent projects, without direct people-management responsibility. The coordinator supports projects involving customer-site services, sample inventories, migrations, storage optimization, relocations, and related operational initiatives. The position translates customer requirements and service definitions into implementation plans, coordinates readiness and cross-functional execution, maintains project records and reporting, and supports data integrity, quality, safety, and regulatory obligations. Operational support may be provided on-site or remotely during critical project phases. The role may involve work in offices, laboratories, warehouses, biorepositories, or customer sites, with travel and occasional non-standard hours as project needs require.

Requirements

  • Bachelor’s degree in life sciences, operations, business, project management, supply chain, or a related field, or an equivalent combination of education and relevant experience.
  • 3+ years of experience supporting projects, laboratory operations, biorepository or sample management, logistics, data management, customer-site services, or another regulated operational environment.
  • Ability to coordinate multiple workstreams, priorities, stakeholders, and deadlines with strong attention to detail and follow-through.
  • Working knowledge of project lifecycle practices, including scope clarification, planning, risk and issue management, change control, status reporting, implementation, transition, and closeout.
  • Strong analytical and problem-solving skills, including the ability to organize incomplete or complex information into clear actions and decisions.
  • Excellent written and verbal communication skills, including preparing professional project documentation and communicating effectively with technical, operational, and customer stakeholders.
  • Proficiency with Microsoft 365 applications, including Excel, Word, PowerPoint, Teams, and SharePoint, and with project or task-tracking tools.
  • Ability to work independently, exercise sound judgment, protect confidential information, and adapt to changing project needs.
  • Ability to travel to customer or company sites as project needs require.
  • Ability to perform extended periods of sitting or standing and routine computer-based work.
  • Ability to reach, bend, and use right- and left-hand finger dexterity.
  • Ability to lift and move up to 25 kg (55 lb) using safe lifting practices and available material-handling equipment.
  • Ability to work with cold-chain materials such as dry ice or liquid nitrogen using required personal protective equipment and approved procedures, when assigned.
  • Ability to discern colors or use appropriate color-correction aids, when required.
  • Maintain a clean and safe work environment and follow applicable universal precautions, bloodborne-pathogen controls, site safety requirements, and personal protective equipment practices.

Nice To Haves

  • Experience with laboratory information management systems, sample inventory systems, dashboards, data reconciliation, or process-mapping tools.
  • Experience in a quality-regulated life sciences environment.
  • Familiarity with GxP, chain of custody, biological sample handling, cold-chain operations, IATA/DOT requirements, or controlled documentation.

Responsibilities

  • Coordinate project lifecycle activities from intake and scoping through planning, startup, execution, transition, and closeout for customer-site services, sample inventory, migration, storage optimization, relocation, and related operational initiatives.
  • Partner with project managers and functional stakeholders to turn customer requirements, statements of work, assumptions, and service definitions into implementation plans, task lists, resource needs, milestones, and acceptance criteria.
  • Maintain project trackers, schedules, action logs, risk and issue registers, decision records, change documentation, and status reports; identify dependencies, resource constraints, and potential schedule or quality impacts.
  • Support project readiness, including site assessments, equipment and supply planning, system access, workspace setup, quality-plan inputs, training coordination, staffing logistics, and operational handoff requirements.
  • Coordinate cross-functional execution among Operations, Customer Site Services, Data Management, Quality, Information Technology, Training, Transport, Commercial, and internal or external partners.
  • Support data collection, reconciliation, validation, and reporting for sample inventories, relocations, registrations, dispositions, and system migrations while maintaining data integrity and traceability.
  • Assist managers with project-specific workflows, job aids, training materials, controlled-document inputs, handoff packages, and lessons learned.
  • Promote standardized project methods, reusable templates, and continuous improvement; analyze outcomes and recommend improvements to planning assumptions, workflows, tools, and resource models.
  • Ensure assigned work follows applicable quality systems, customer requirements, safety procedures, confidentiality expectations, and regulatory or contractual obligations.
  • Provide on-site or remote operational support during startup, inventory, migration, relocation, stabilization, and transition to sustained operations.
  • Build effective customer and internal stakeholder relationships through clear communication, prompt responses, and a service-oriented approach.
  • Perform other duties as assigned to support evolving business and project needs.
