About The Position

The Entertainment Community Fund (formerly The Actors Fund), a nationwide human services organization that helps all professionals in performing arts and entertainment, seeks a Project Manager to implement and coordinate the “Broadway Flu Shot Program”, which provides flu shots to Broadway theaters, select-off Broadway theaters, and related companies. This is an hourly position based in the Entertainment Community Fund’s National Headquarters Office in Times Square, New York City.

Requirements

  • Excellent verbal and written communication skills
  • Demonstrable proficiency in Excel, Outlook, and Calendly
  • Attention to detail, accuracy, and timeliness
  • Ability to schedule and coordinate numerous events between medical providers and stage management
  • Ability to obtain and compile necessary contact information
  • Minimum of 4 years in event planning or project management

Nice To Haves

  • Experience in stage management is strongly preferred
  • A background in, or an interest in, the arts or entertainment industries is a plus.

Responsibilities

  • Oversee daily operations of the program, including developing and maintaining a database of all Broadway theaters, select off-Broadway theaters and related companies; including stage and company managers, as well as company office staff.
  • Work with providers and practice management from the Friedman Health Center for the Performing Arts to coordinate and schedule flu shot events with stage managers.
  • Market the program to company cast and crew and troubleshoot any problems that arise in the process.
  • Accompany the provider to each flu shot event (generally 60-70 during the season).
  • Promote the Friedman Health Center for the Performing Arts and the services of the Entertainment Community Fund.
  • Assist the provider with set up/break down.
  • Manage patient registration and volume.
  • Distribute forms and promotional materials.
  • Compile data and financials required for monthly reporting, and create a final report for management and the grantor.
  • Coordinate 4 free flu shot days for the entertainment community at the Friedman Health Center in collaboration with Karpas Health, a public health program of Mount Sinai.
