About The Position

The Project Management Specialist, Learning Networks will coordinate assigned projects, including collaborating on project plans, budgets, and resource requirements. This role involves identifying and utilizing appropriate project management tools and concepts, developing and executing work plans, and setting task priorities. The specialist will track progress, prepare internal reports, and create project communication for internal and external clients. They will also identify people, process, and infrastructure needs, acting as a liaison to ensure appropriate systems and reporting are maintained. The role involves creating work products and project deliverables, both independently and under direction, while understanding and meeting expectations for deliverable quality and timeliness. Additionally, the specialist will provide support for project completion and business plans, coordinate logistics for meetings and conferences, and may take and transcribe meeting minutes. They will also place orders for materials and monitor budgets for funded projects. Data analysis and reporting are key components, including primary and secondary data collection, summarizing findings, drawing conclusions, and communicating results. The role supports and executes regulatory/reporting activities and manages communication with key project stakeholders, composing and editing written and verbal communications, and facilitating small group discussions.

Responsibilities

  • Coordinate assigned projects including collaborating on project plans, budgets, and resource requirements.
  • Identify and use appropriate project management tools and concepts (charters, scope management, budget management, risk/ issue management, communications management).
  • Develops and execute work plans.
  • Set priorities for tasks based on importance and urgency.
  • Track progress and prepare internal reports.
  • Prepare documents to support project management and reporting.
  • Prepare and distribute project communication to internal and external clients.
  • Identify people, process and infrastructure needs and act as liaison to ensure appropriate systems and reporting are maintained in support of project requirements.
  • Create work products and project deliverables, both independently and under direction of team members.
  • Understand and meet expectations for deliverable quality and timeliness.
  • Provides support for completion of projects and business plans.
  • Coordinates and schedules logistics related to the assigned project i.e. meetings, progress reports, conferences, conference calls, and other appointments.
  • May take and transcribe meeting minutes and distribute accordingly.
  • Places orders for materials as needed and monitors budget for funded projects.
  • Perform primary and secondary data collection (e.g., literature reviews), summarize findings, draw appropriate conclusions, and effectively communicate results to team.
  • Coordinate collection of data.
  • Conduct/ support qualitative and quantitative analysis of project data.
  • Support and execute regulatory/ reporting activities related to projects (e.g., IRB, updates/ reports to funding agencies, etc.)
  • Manage communication to and relationships with key project stakeholders.
  • Compose, edit, and deliver written and verbal communications.
  • Facilitate small group discussions.
  • Keep team members appropriately informed.
