About The Position

This role is responsible for coordinating assigned projects, including collaborating on project plans, budgets, and resource requirements. The specialist will identify and utilize appropriate project management tools and concepts, develop and execute work plans, and set task priorities. They will track progress, prepare internal reports, and create documents to support project management and reporting. Communication with internal and external clients, identification of people, process, and infrastructure needs, and acting as a liaison to ensure appropriate systems and reporting are maintained are key aspects of this role. The specialist will also create work products and project deliverables, both independently and under direction, ensuring quality and timeliness. Additionally, the role provides assistance and administrative support for projects and business plans, coordinates logistics such as meetings and conferences, and may take and transcribe meeting minutes. Ordering materials and monitoring budgets for funded projects are also included. In terms of data analysis and reporting, the specialist will perform data collection, summarize findings, draw conclusions, and communicate results. They will coordinate data collection, conduct qualitative and quantitative analysis, and support regulatory/reporting activities. Communication and relationship management with key stakeholders, composing and editing communications, and facilitating small group discussions are also essential.

Responsibilities

  • Coordinate assigned projects including collaborating on project plans, budgets, and resource requirements.
  • Identify and use appropriate project management tools and concepts (charters, scope management, budget management, risk/ issue management, communications management).
  • Develops and execute work plans.
  • Set priorities for tasks based on importance and urgency.
  • Track progress and prepare internal reports.
  • Prepare documents to support project management and reporting.
  • Prepare and distribute project communication to internal and external clients.
  • Identify people, process and infrastructure needs and act as liaison to ensure appropriate systems and reporting are maintained in support of project requirements.
  • Create work products and project deliverables, both independently and under direction of team members.
  • Understand and meet expectations for deliverable quality and timeliness.
  • Provides support for completion of projects and business plans.
  • Coordinates and schedules logistics related to the assigned project i.e. meetings, progress reports, conferences, conference calls, and other appointments.
  • May take and transcribe meeting minutes and distribute accordingly.
  • Places orders for materials as needed and monitors budget for funded projects.
  • Perform primary and secondary data collection (e.g., literature reviews), summarize findings, draw appropriate conclusions, and effectively communicate results to team.
  • Coordinate collection of data.
  • Conduct/ support qualitative and quantitative analysis of project data.
  • Support and execute regulatory/ reporting activities related to projects (e.g., IRB, updates/ reports to funding agencies, etc.)
  • Manage communication to and relationships with key project stakeholders.
  • Compose, edit, and deliver written and verbal communications.
  • Facilitate small group discussions.
  • Keep team members appropriately informed.
