About The Position

The Project Management Lead is responsible for coordinating and driving the successful execution of strategic and operational initiatives across the organization. This role ensures projects remain organized, action items are completed on time, leaders receive accurate reporting, and cross-functional teams remain accountable to established commitments. The Project Execution Lead serves as a key partner to leadership by keeping initiatives moving forward through proactive coordination, communication, follow-up, and reporting.

Requirements

  • Bachelor Degree in Business Administration, Healthcare Administration, Project Management or related field required.
  • Minimum of three (3) years of experience coordinating complex, cross-functional projects or organizational initiatives.
  • Minimum of two (2) years of experience in healthcare, managed care, PACE, hospitals, physician practices, home care, or other healthcare environments.
  • Experience supporting executive leadership and facilitating projects involving multiple departments.
  • Advanced proficiency with Microsoft Excel, PowerPoint, Outlook, and Word.
  • Experience preparing executive reports, presentations, and meeting documentation.
  • Excellent written and verbal communication skills.

Nice To Haves

  • Experience using project management software such as Microsoft Project, Smartsheet, Monday.com, Asana, or similar platforms preferred.
  • Candidates with Healthcare years of experience will be preferred.

Responsibilities

  • Coordinate and monitor multiple organizational initiatives and strategic projects simultaneously.
  • Develop and maintain project plans, timelines, milestones, action logs, and project documentation.
  • Monitor project progress and proactively follow up with project owners to ensure commitments and deadlines are met.
  • Identify project risks, barriers, and delays, and escalate concerns to appropriate leadership when necessary.
  • Maintain accountability by ensuring project participants follow through on agreed-upon deliverables.
  • Track project status and provide regular updates to executive leadership.
  • Support the implementation of new organizational initiatives and process improvements.
  • Coordinate project meetings, committee meetings, and cross-functional workgroups.
  • Prepare meeting agendas in collaboration with project sponsors.
  • Facilitate meetings as appropriate and ensure discussions remain focused on objectives.
  • Prepare accurate meeting minutes, documenting key decisions, action items, responsible owners, and due dates.
  • Distribute meeting summaries and monitor completion of all follow-up items.
  • Coordinate recurring executive and departmental meetings related to strategic initiatives.
  • Generate reports from organizational systems to monitor project performance and operational metrics.
  • Maintain project dashboards, tracking tools, and complex Excel spreadsheets.
  • Analyze data and prepare executive summaries highlighting project progress, trends, risks, and opportunities.
  • Develop professional PowerPoint presentations, dashboards, and executive-level reports for leadership meetings, strategic planning sessions, and Board presentations.
  • Organize and maintain project documentation to ensure information is accurate, current, and readily accessible.
  • Build collaborative working relationships with leaders and staff across the organization.
  • Serve as a central point of coordination among departments participating in organizational initiatives.
  • Ensure project participants clearly understand priorities, responsibilities, timelines, and expected outcomes.
  • Promote effective communication, collaboration, and accountability across all levels of the organization.
  • Foster a culture of ownership and timely execution while maintaining professionalism and strong working relationships.
