About The Position

We are seeking a Project Management Assistant to join an existing project team. The position will provide assistance to office professional staff including directors, scientists, engineers and proposal group. Assistance will be in the form of telecommunications, MS Word editing, MS Excel file manipulations, report creation, create and maintain file systems and setup and lead conferences and calls. This role must be a dynamic personality and be able to change responsibilities at a moment’s notice.

Requirements

  • Some project management experience
  • Must have a Bachelor’s degree
  • Knowledge of common financial reporting systems
  • Must have high advanced knowledge of MS Office including Excel.
  • Must have an aptitude for network storage and taxonomy.
  • Must know how to interact with executive and professional staff.
  • Must be able to setup and lead conference calls.
  • Will create weekly and monthly reports.
  • Organizes own work to meet deadlines set by others.
  • Communicates information, asks questions and checks for understanding.
  • Builds team effectiveness skills within own work team

Responsibilities

  • Document management
  • Administrative, financial reports.
  • Reports to Directors but will work with entire staff.
  • Interface with client and program applicants to facilitate questions and meetings
  • Inspect documents for accuracy against policies and procedures
  • Identify and facilitate conflict and issue resolution
  • Produce status reports
  • May have responsibility for multiple projects.
  • Establishes and monitors project safety and quality programs.
  • Plans, organizes, coordinates, and controls small projects in accordance with the established policies, procedures, systems, and requirements.
  • Supervises daily activities of project personnel including technical and administrative support and ensures that deliverables are produced on schedule and within budget.
  • Assist with preparing proposals, coordinating contract negotiations, etc., as well as assisting in managing project execution.
  • Represents the company to client and maintains client relationship.
