About The Position

The Project Management Assistant supports the Project Managers in the Project Delivery Branch by acting as the key interface between members of the public and the project team through in person meetings, email, and notification letters. This role also involves helping the team to identify key business, resident and community groups likely to be impacted by construction activities and helping with the development and implementation of stakeholder communications plans. Representation of the City’s projects and plans at public meetings with stakeholder groups and partners is required both during and outside of regular work hours as necessary.

Requirements

  • Bachelor’s degree in a related discipline plus formal training in project management methodologies, preferably consistent with those provided by the Project Management Institute, and several years experience working on projects, preferably in a municipal setting or in fields related to stakeholder engagement, communications, project management or construction management ; OR an equivalent combination of training and experience.
  • Excellent written and oral communication skills including confidently interacting with the public and business operators through phone, email and in person.
  • Skills in establishing and maintaining good working relationships with internal and external stakeholders.
  • Skills in research, mapping and analysis.
  • Excellent interpersonal skills and patience to deal tactfully with staff, partner agencies, and members of the public.
  • Considerable knowledge of computer applications and capabilities as related to work such as MS Office and Adobe Creative Suite.
  • Ability to read and interpret traffic control plans, simple engineering drawings, verify information and document field observations; retrieve and interpret field observations and studies.
  • Considerable knowledge of construction methodology for engineering infrastructure projects, and the associated impacts to adjacent business, residents and commuters.
  • Considerable knowledge of project management methodologies and standards.
  • Ability to prepare presentations and reports for complex construction projects.
  • Ability to work independently to produce quality materials and recommendations within tight timeframes.
  • Ability to plan, organize, set goals and outcomes, accomplish and measure objectives and results.
  • Ability to exercise sound judgment and discretion.
  • Ability to work well in a team environment with little or no supervision under tight deadlines.

Nice To Haves

  • A valid B.C. class 5 driver's license is an asset.

Responsibilities

  • Contributes to the development of communication and stakeholder communication and/or management plans, ensuring stakeholder needs are considered and addressed in project planning stages.
  • Implements stakeholder management plans for major construction projects.
  • Responds to public enquiries about projects and ensures record keeping of enquiries, concerns and subsequent resolution in a project register, including the preparation and distribution of status reports relevant to stakeholder communications.
  • Works with Corporate Communications to align stakeholder concerns with issues management and broader communication strategies.
  • Works with other City departments to identify private encroachments anticipated to be impacted by projects, and the preparation and maintenance of a project encroachment database.
  • Develops and obtains approvals for construction notification letters.
  • Develops and obtains approval for informational and analytical graphic materials for public meetings, presentations, and for inclusion in Council reports.
  • Performs outreach activities as necessary (door-to-door, information tables, or events as required), representing the City during the public consultation process.
  • Manages and writes regular emails to stakeholders using the project’s email newsletter list.
  • Organizes and sometimes leads meetings with internal and external stakeholders.
  • Performs general administrative duties including data entry, taking meeting minutes, taking and organizing photos.
  • Other duties/responsibilities as assigned.
