About The Position

Ferguson is searching for an organized, highly motivated, and detail-oriented Project Document Coordinator to provide administrative support to their Corporate Submittal Center team and Managers. This role involves working closely with the Regional Quotations team to provide excellent, comprehensive administrative support. This is currently a hybrid/flexible position for those in Raleigh, Nashville, or Newport News.

Requirements

  • Ability to collaborate and support quotations associates and managers in a team-oriented environment
  • Proficient in Microsoft Office 365 Suite, especially Teams and Outlook
  • Excellent written and verbal communication skills with ability to communicate across all levels of the organization
  • Strong computer and typing skills
  • Ability to handle a highly deadline driven environment
  • Ability to be flexible and adaptable as this position often requires multi-tasking
  • Ability to identify business critical issues quickly and navigate priorities based on last minute changes
  • Be well organized, detail oriented, and have excellent time-management skills
  • Possess a high level of integrity and professionalism
  • Remote candidates should be aware that our main offices are in the Eastern and Central time zones. This may require schedule flexibility for onboarding and training as well as team meetings.
  • The candidate must be flexible to work in the time zone based on the territory assigned.
  • Remote candidates must have high speed internet connection.
  • Candidates outside of these markets will be considered, pending their qualifications.
  • Candidates based in the general Raleigh, Nashville, or Newport News markets, we offer a hybrid schedule with time in the office for in person meetings, training, and/or collaboration. Hybrid candidates are expected in the office 3 days per week.
  • Hybrid candidates must have high speed internet connection

Responsibilities

  • Create Submittal and Operation & Maintenance manuals for ongoing projects
  • Manage high-volume email requests via shared Outlook inbox
  • Organize and file inbound emails and attachments appropriately in project folders
  • Collaborate with Customer Service Supervisor to ensure job scheduling is coordinated accurately
  • Identify business critical issues quickly and collaborate with team members to resolve
  • Support quotations team through input of job information into quotations software site, BidTracer
  • Use and maintain established SOPs to complete administrative processes
  • Provide phone support for incoming calls as needed
