About The Position

The Project Document Control Administrator will play an important role in supporting the successful execution of power industry projects by ensuring project information is accurate, accessible, organized, and delivered on time. This role involves working closely with engineering, project management, quality, customers, vendors, and other stakeholders to manage the flow of technical and contractual documentation throughout the project lifecycle. The work supports efficient project execution, regulatory compliance, quality standards, and effective collaboration across project teams. The administrator will maintain document control systems, manage document deliverables, coordinate submissions and approvals, track revisions, and support audits and compliance activities. This position offers exposure to large project environments and development in project documentation workflows, stakeholder coordination, document management systems, and continuous improvement practices. By ensuring project documentation is managed effectively from initiation through closeout, the role contributes to reliable project delivery and supports the ongoing modernization and operation of critical power infrastructure.

Requirements

  • Candidate must already have work authorization that would permit them to work for Hitachi Energy in the United States.
  • Diploma or degree in administration, document management, or a related field.
  • 3+ years of work experience in the documentation management area.
  • Proficiency with document management systems and Microsoft Office tools.
  • Experience supporting document control activities on large projects.
  • Excellent organizational, time management, communication, and team collaboration skills, with attention to detail and the ability to manage multiple priorities.

Nice To Haves

  • Bachelor's degree in an engineering-related discipline is advantageous.

Responsibilities

  • Manage project documentation deliverables in accordance with company and project requirements.
  • Maintain and update document control systems for project-related documentation.
  • Classify, code, cross-reference, log, and maintain project records throughout their lifecycle.
  • Coordinate documentation requirements with customers, vendors, project teams, and other stakeholders.
  • Monitor documentation schedules, submissions, approvals, and project deliverables through regular reporting and follow-up.
  • Distribute, track, and maintain technical documents, drawings, and specifications for internal and external use.
  • Prepare and maintain document registers, transmittals, status reports, inventories, and classification indexes.
  • Support audits, compliance activities, risk identification, record retention, and continuous improvement initiatives.
  • Ensure compliance with applicable external and internal regulations, procedures, and guidelines.
