About The Position

As the portfolio of digital safety, compliance, and operational tools continues to expand, maintaining accurate, reliable, and high‑quality project data is critical for effective decision‑making and cross‑team collaboration. The Project Data Administrator (PDA) serves as the central steward of project information—ensuring data integrity, supporting system administration, maintaining documentation, and enabling consistent reporting across teams, products, and projects. This role ensures that technical project managers, sustainment leaders, and application administrators have timely, accurate, and actionable data so they can focus on strategic execution rather than manual data maintenance. With 20+ active projects and ongoing system and process enhancements, a dedicated PDA is essential to maintaining project governance, tool reliability, and operational efficiency. This is a part-time role, with availability requirements on-site.

Requirements

  • Experience working with enterprise data or content repositories such as databases, SharePoint sites, or similar platforms
  • Experience supporting project teams through data administration, documentation, and ongoing maintenance of project or operational information
  • Ability to analyze operational guidelines or requirements and translate them into structured data, reference materials, or documented logic
  • Strong attention to detail with a demonstrated commitment to data accuracy, consistency, and compliance with established guidelines
  • Proven ability to organize and structure data by business line, role, location, schedule, or other defined criteria
  • Experience creating and maintaining procedural documentation, links, and reference materials in a controlled and auditable format
  • Ability to work independently on clearly defined tasks and deliverables while coordinating closely with a project manager or project lead
  • Experience supporting project rollout and sustainment activities, including requirements gathering and documentation updates
  • Ability to manage assigned work items and priorities in a project‑based environment with minimal supervision
  • Strong communication skills with the ability to collaborate effectively with project managers, operations partners, and subject‑matter experts

Responsibilities

  • Ensure accurate, validated project data and administer PMIS and application tools, including user access and system testing
  • Produce clear, timely KPI and milestone reporting while maintaining dashboards and standardized portfolio tools
  • Manage version‑controlled project documentation and maintain an organized, up‑to‑date knowledge repository across systems
  • Configure system checklists and workflows, troubleshoot user issues, and support application administrators across sites
  • Track project tasks and timelines, update schedules, and escalate delays to ensure consistent project progress
  • Collaborate across teams and provide onboarding, access setup, and training support for Smartsheet and related tools
