About The Position

Our client is seeking a highly organized and analytical Project Coordinator to support public affairs and community outreach for construction projects. This position combines field canvassing, schedule coordination, data tracking, reporting, and office-based administrative responsibilities. The position is approximately 60% field-based and 40% office-based. Candidates located in Middlesex, Mercer, or Union County are preferred due to travel requirements throughout the service territory.

Requirements

  • High school diploma or equivalent required.
  • At least two years of relevant business, communications, project coordination, reporting, or analytical experience.
  • Strong analytical, organizational, communication, and time-management skills.
  • Excellent attention to detail and the ability to manage changing priorities.
  • Proficiency with Microsoft Excel, including pivot tables and formulas.
  • Proficiency with Outlook, PowerPoint, Word, and general computer applications.
  • Experience maintaining trackers and preparing operational reports.
  • Ability to work independently and coordinate effectively with a field-based team.
  • Strong interpersonal and presentation skills.
  • Professional and respectful when interacting with customers, businesses, and team members.
  • Ability to foster an inclusive work environment and value different perspectives and approaches.
  • Valid U.S. driver’s license and satisfactory motor vehicle record; an MVR check is required.
  • Reliable vehicle for travel.
  • Ability to travel throughout Mercer, Middlesex, Union, and surrounding areas.
  • Ability to walk long distances and perform fieldwork in varying seasonal conditions.

  • General knowledge of canvassing or door-to-door delivery is preferred.

Responsibilities

  • Coordinate field outreach activities to ensure construction notifications are delivered accurately and on schedule.
  • Gather multiple project schedules, prioritize assignments, and develop weekly work plans.
  • Coordinate the daily schedules of Project Support Specialists and confirm completion of all required checklists.
  • Monitor changing field conditions and revise schedules when necessary.
  • Maintain and monitor the team’s customer interaction and field-notification trackers.
  • Track streets covered, residential and business customers reached, critical facilities identified, and issues requiring follow-up.
  • Prepare and analyze monthly, operational, and ad hoc reports.
  • Use Excel formulas and pivot tables to organize and analyze outreach data.
  • Maintain inventory of letters, door hangers, and other outreach materials, including monthly expenditure tracking.
  • Support updates to construction-related websites.
  • Receive outreach requests containing project details, customer letters, route maps, material quantities, and required door-hanger types.
  • Print, fold, assemble, and prepare outreach materials.
  • Assist Project Support Specialists with field canvassing when workloads are high.
  • Walk approximately 7–10 miles per day when completing field assignments.
  • Deliver construction notifications to residential and business customers across multiple municipalities.
  • Place door hangers on residential doors and hand-deliver business notifications to an owner or manager.
  • Communicate significant field observations or customer concerns to the appropriate Public Affairs Specialist.
