The Coordinator fulfills a vital administrative and logistical role, ensuring smooth communication and data flow within regional office structures and dedicated operational tracks. Acting as a central focal point for administrative organization, this professional keeps day-to-day business processes, documentation, and systemic support mechanisms running efficiently to back up our commercial construction deliverables. This Regular Full-Time (RFT) hourly role focuses on day-to-day execution, schedule alignment, and administrative accuracy. The Coordinator handles a wide array of support duties, ranging from file system upkeep and data input to cross-departmental coordination and vendor tracking. By serving as a proactive problem solver and minimizing friction across departmental projects, this position directly assists local teams in achieving the rigorous production targets.

Requirements

  • High school diploma or GED equivalent required; vocational office training or an Associate’s degree is a distinct advantage.
  • Minimum of 1–3 years of proven experience in a corporate administrative assistant, operations coordinator, or general office support role.
  • Strong digital proficiency, including hands-on experience with Microsoft Office Suite (Word, Excel, Outlook) and cloud databases.
  • Demonstrated capability to prioritize tasks effectively while managing a steady volume of incoming files and project requests.
  • Excellent interpersonal, verbal, and written communication skills to connect effectively with professional personnel.
  • Notable attention to detail with a track record of identifying data inconsistencies or missing files before processing.
  • Proven ability to work successfully within collaborative team settings or independently with basic supervision.
  • Strong problem-solving aptitude, paired with a calm approach when handling urgent timeline adjustments.
  • Flexibility to adapt quickly to evolving software systems, procedural updates, and internal corporate layouts.

Responsibilities

  • Provide comprehensive administrative and operational support to the regional department or assigned business track.
  • Execute precise data entry, record updating, and file maintenance within corporate ERP platforms and project management systems.
  • Organize, route, and distribute internal and external correspondence, incoming technical specifications, and project requests.
  • Maintain regional schedules, track departmental task lists, and coordinate necessary cross-functional meetings.
  • Prepare, format, and audit routine business forms, tracking logs, performance metrics, and compliance reports.
  • Serve as a reliable, direct contact point for customer inquiries, external vendor questions, and shared resource pools.
  • Compile and double-check regional expense reports, supply requests, and billing vouchers to ensure accurate bookkeeping.
  • Archive completed project records, material tracking lists, and customer interaction logs according to corporate policy.
  • Assist in onboarding and setting up internal software permissions, access badges, and training documentation for new hires.
  • Collaborate with logistics and production teams to coordinate product dispatches or material drop-offs.
  • Audit administrative office workflows regularly to recommend structural process or software improvements.
  • Support special operational projects and corporate initiatives under the direction of the local management group.
