About The Position

Seeking a candidate with knowledge about every stage of the Construction process, from Scope Development to Project Closeout, and must have the ability to proficiently manage various responsibilities. This role involves coordinating with Project Managers and subcontractors to ensure compliance with contract documents, resolve conflicts, and maintain safety and quality standards to optimize production and minimize downtime. The Project Coordinator will manage all necessary project documents from pre-construction to closeout, including compiling information for contracts, change orders, time & material billings, and other extra work. They will also support field staff and the project team, ensuring all necessary items are in place for successful project tracking, including communication, budgets, daily logs, and timesheets. The role also includes preparing subcontracts and purchase orders for approval, initiating and tracking documents such as contracts, subcontracts, RFIs, submittals, and proposed change orders, and processing contractor/subcontractor/vendor invoices, reconciling them, obtaining lien releases, and approving payments.

Requirements

  • High School diploma or GED, required.
  • Must have the ability to run multiple projects and tasks.
  • Possess strong organizational, communication and leadership skills.
  • Strong verbal and writing skills (English language).
  • 3+ years minimum experience in construction and safety practices, including scheduling, contracts, budgets and related processes and information.
  • Computer experience and the ability to use Microsoft Office suite.
  • Must be able to meet company’s employment requirements, which includes passing a drug screen, background check, and MVR, if driving for the company.

Nice To Haves

  • Experience in Petroleum/C Store/Gas Station Construction or related work a plus.
  • Bilingual in Spanish a plus.
  • QuickBooks, Sage, and Procore a plus

Responsibilities

  • Set-up job folders, forms and files with details/project information in applications
  • Perform project updates including dates, phases, cost types, change orders, back charges, etc.
  • Coordinate with Project Manager and subcontractors to assure compliance with contract documents, conflict resolution, safety rules and quality requirements to maximize production and eliminate down time.
  • Coordinate and manage all necessary project documents from pre-construction phase to project closeout, including compiling backup to prepare contract, change orders, time & material, and other extra work billings.
  • Coordinate/support field staff and project team to ensure that all necessary items are in place to track a successful project, including all verbal and written communication, budgets, daily logs and time sheets.
  • Prepare subcontracts and purchase order for approval.
  • Initiate and track documents through contracts, subcontracts, RFI's, submittals, proposed change orders, etc...
  • Receive and approve contractors/subcontractor/vendor invoices, reconcile and obtain required lien releases, and approve release of payments.
