This role supports and administers utility construction projects by coordinating project documentation, acting as a liaison between field operations, project management, and accounting, and ensuring information is complete, accurate, and properly documented.

Requirements

  • Experience in project coordination, construction administration, or a related role preferred.
  • Exceptional attention to detail and organizational skills.
  • Strong follow-up with the ability to manage multiple priorities and deadlines.
  • Strong communication and problem-solving skills.
  • Proficient in Microsoft Office and comfortable learning new systems.

Responsibilities

  • Collect, review, and process daily field documentation, including timesheets, billing units, tickets, job briefings, photos, and project records.
  • Review all documentation for accuracy, completeness, and proper job/cost coding; identify discrepancies and coordinate corrections.
  • Maintain project tracking logs, documentation, and required submissions, ensuring information is current, accurate, and complete.
  • Coordinate with field personnel, client personnel, and accounting to obtain required information and resolve documentation discrepancies.
  • Proactively track outstanding items, follow up, and escalate unresolved issues until deadlines are met.
  • Process and maintain supporting documentation for purchase orders, vendor invoices, credit card receipts, AP approvals, and payroll requests.
  • Support monthly job cost and accounting close by ensuring required transactions and documentation are complete and processed timely.
  • Scan, file, and catalog documents to their referenced projects.
  • Perform general administration duties as assigned.
