About The Position

The Project Coordinator (internal title: Production Services Associate) is responsible for managing assigned project scope with a focus on procurement, finance, compliance, and reporting. This role partners closely with internal teams and external vendors to ensure projects are executed efficiently, compliantly, and with clear financial oversight.

Requirements

  • 1–3 years of experience in project management and/or procurement, with exposure to compliance-driven environments.
  • Strong attention to detail, organization, and time management, with a proactive approach to problem-solving.
  • Experience working in finance, accounting, and/or project management systems.
  • Proficiency in Excel, including formulas and formatting.
  • Excellent written and verbal communication skills, with the ability to support internal and external partners at all levels.
  • Ability to take ownership of assigned projects, manage competing priorities, and see work through to completion.
  • Adaptability and comfort working in evolving processes and compliance standards.
  • A team-oriented mindset, strong work ethic, positive attitude, and willingness to support others.

Responsibilities

  • Manage and oversee assigned job finance and accounting activities within applicable systems.
  • Reconcile vendor invoices, purchase orders, project expenses, and employee expenses, as applicable.
  • Audit vendor invoices to ensure accuracy and compliance, coordinating with Client Accounting and other partners as needed.
  • Onboard new vendors and freelancers, identifying and escalating potential risk to mitigate agency and client exposure.
  • Navigate internal and client-specific compliance standards to ensure audit requirements are consistently met.
  • Collaborate with internal stakeholders across the JMW enterprise to educate and inform teams on compliance standards and processes.
  • Champion the Production Services function as a professional, proactive, and integrated partner.
  • Partner with project teams to establish parameters, develop sourcing schedules, and maintain approved budgets.
  • Research, evaluate, negotiate, and recommend suppliers to balance quality, cost, and timing.
  • Prepare and manage quote packages for internal leadership and client review and approval.
  • Create purchase orders and support contract negotiations, ensuring compliance with required standards.
  • Identify opportunities to improve procurement efficiency, tools, and supporting databases.
  • Support and advance supplier diversity initiatives through strategic sourcing and communication.
  • Manage sales and use tax requirements in alignment with corporate and client compliance standards.
  • Manage and provide oversight for client billing, ensuring accuracy, timeliness, and compliance with internal and client requirements.
  • Maintain complete electronic job audit files to support internal and external audit needs.
  • Collaborate closely with internal Shared Services teams to support project-related finance and accounting responsibilities.
