About The Position

This position supports the planning, coordination, administration, and execution of departmental projects, contracts, and operational initiatives. The incumbent coordinates activities with project managers, contract managers, internal departments, vendors, and external stakeholders to ensure projects are completed efficiently, within established timelines and budgets, and in compliance with applicable policies, regulations, and organizational objectives. Responsibilities include assisting with project planning, contract administration, regulatory compliance, operational improvements, and special projects.

Requirements

  • Bachelor's degree in Business Administration or Public Administration AND Three years of experience executing multiple tasks on behalf of senior leadership, managing projects, evaluating processes and procedures, interpreting and analyzing data, and conducting research.
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above will also be considered.
  • Public safety background investigation, including criminal history, motor vehicle records, and fingerprinting
  • On-call rotation and after-hours response, including nights, weekends, and holidays as needed

Nice To Haves

  • Bachelor's degree in Criminal Justice, Psychology, Sociology, Social Work or related field
  • Five years of experience executing multiple tasks on behalf of senior leadership, managing projects, evaluating processes and procedures, interpreting and analyzing data, and conducting research.
  • Valid Driver's License

Responsibilities

  • Coordinating and supporting multiple projects by maintaining schedules, budgets, records, and documentation to ensure project milestones, deadlines, and deliverables are achieved; participating in special projects, serving on committees, facilitating training initiatives, and performing other related duties as assigned by the Section Manager or Supervisor.
  • Assisting with project planning, research, data collection, analysis, reporting, and preparing project proposals, presentations, white papers, cost estimates, and other supporting materials.
  • Communicating project updates, timelines, action items, and operational impacts to project teams, stakeholders, vendors, clients, management, and external agencies.
  • Organizing and participating in project meetings, preparing agendas, recording meeting minutes, tracking follow-up actions, and coordinating meeting logistics.
  • Providing administrative support to project and contract managers, including managing calendars, organizing documents, preparing correspondence, and maintaining confidential reports and technical documentation.
  • Assisting with contract administration activities, including preparing and reviewing contracts, coordinating with vendors, and ensuring alignment with project requirements, regulatory standards, and organizational objectives.
  • Coordinating with management, legal representatives, vendors, and stakeholders throughout the contract review, approval, and implementation process.
  • Evaluating workflow and operational processes and collaborating with cross-functional teams to recommend changes that increase operational efficiency and organizational effectiveness.
  • Conducting research and preparing reports related to planning initiatives, infrastructure projects, demographics, regulations, capital improvements, and other operational priorities.
  • Monitored project expenditures, proposed legislation, and regulatory developments to evaluate potential impacts, ensure compliance with Federal, State, and Local laws, regulations, codes, and standards, while serving as a liaison between departments, outside agencies, vendors, and stakeholders to facilitate communication, coordination, and successful project execution.
  • Engaging with staff, citizens, leadership, and elected officials as needed.
  • Facilitating training sessions.
  • Communicating changes in work processes and policies.
