The Project Coordinator provides critical organization and administrative support to engineering, facilities, and quality teams within a regulated environment. This role is responsible for tracking key workflows, managing documentation status, and ensuring timely progression of deliverables across cross-functional groups. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a fast-paced setting.

Requirements

  • 1-3 years of administrative, coordination, or operations support experience in a technical or regulated environment.
  • Advanced proficiency in Microsoft Excel.
  • Strong organizational, multitasking, and communication skills.
  • Ability to work independently and proactively follow up on tasks.
  • Must be authorized to work in the U.S.
  • No C2C at this time.

Nice To Haves

  • Bachelor’s degree in Business, Engineering, or related field preferred.
  • Experience supporting document control, change control, or maintenance workflows is preferred.
  • Familiarity with ACE and BMRAM is highly desirable.
  • CAPM Certification is a plus.

Responsibilities

  • Track document revisions (SOPs, validation documents, etc.) and follow up with initiators and reviewers to ensure timely completion and approval.
  • Monitor documentation workflows and drive progress to meet effective deadlines.
  • Maintain accurate status updates within trackers and reporting tools.
  • Track change controls and associated action items through to closure; proactively follow up with task owners.
  • Maintain change control trackers and provide regular status reporting.
  • Monitor Maintenance Work Orders (MWOs) within systems such as BMRAM and update progress accordingly.
  • Coordinate with Facilities, Engineering, and Quality teams to support MWO review and closure processes.
  • Serve as a liaison across cross-functional teams to facilitate communication and ensure alignment.
  • Escalate risks, delays, or roadblocks to leadership as needed.
  • Support reporting by maintaining trackers and summarizing status updates.
  • Additional responsibilities as required.
