About The Position

UW Health and the UW School of Medicine Public Health established the Center for High Value Imaging (CHVI) to improve patient access, experience and outcomes through high-value imaging. A patient-centered strategy, high-value imaging aims to improve patient access and experience as well as maximize actionable imaging-derived information. This efficiency is core to being good stewards of our human and technological resources. CHVI’s multiyear plan focuses on three domains: patient care and community service, research and innovation, as well as education. Projects within the domains will feed into each other, while always keeping the patient as the primary focus. We are looking for a project coordinator who can strengthen our high functioning team by providing administrative and organizational support. As well as opportunities for growth, the successful candidate will be someone who has effective communication skills, a high level of coordination and organization, and a demonstrated ability to succeed in dynamic, goal driven, fast-paced team environments. The primary responsibilities for this role include: providing administrative, logistical, and communicative support to project managers and CHVI team to ensure projects are completed within scope, coordinating, managing, and tracking projects in project management software, and contributing new ideas and solutions for process improvement.

Requirements

  • Minimum of 2 years of professional or internship experience supporting projects or programs involving multiple stakeholders, timelines and deliverables.
  • Minimum of 3 years of administrative experience including coordinating large meetings, drafting correspondence, scheduling across multiple calendars, providing documentation and timely follow up

Nice To Haves

  • Proficient using structured project management tools (e.g., Smartsheet, MS Project, Planner, Asana, Trello) to create reports build visual workflows such as Gantt charts, and analyze project performance data (e.g., turnaround times, completion rates, milestone adherence)
  • Certification in project management
  • Professional work experience in healthcare, higher education or research setting.

Responsibilities

  • Develops, schedules, coordinates, and prioritizes project work plans in accordance with specifications and resource limitations
  • Serves as the initial point of contact for the project(s), serves on committees, and attends meetings representing the interests of the project(s)
  • Develops, enhances, and maintains operational standards and systems to support project teams
  • Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions
  • Establishes, monitors, coordinates, and controls project budgets versus actual expenditures and budget reporting
