About The Position

The Project Coordinator serves as a vital operational partner within the College of Nursing, providing leadership and coordination for events, financial processes, procurement activities, and travel operations. This position ensures the successful planning, execution, and evaluation of a wide range of college initiatives while delivering exceptional service to internal and external stakeholders. The role manages all aspects of event coordination, including project planning, logistics, budgeting, vendor relations, and support for conferences, official guests, alumni, donors, and site visitors. Responsibilities also include overseeing purchasing and invoicing processes, monitoring event expenditures, and preparing financial reconciliations and post-event reports to ensure fiscal stewardship and accountability. In addition, the Project Coordinator oversees high-volume travel arrangements and reimbursement processing, ensuring compliance with UAMS, state, and institutional policies and procedures. Working collaboratively with faculty, staff, campus partners, and external vendors, this position requires strong organizational, communication, and project management skills, with a focus on operational excellence, process improvement, and the successful delivery of College of Nursing programs and events.

Requirements

  • High School Diploma plus 4 years’ experience in administrative office support in an office setting or equivalent
  • Travel and/or procurement support experience in a medical or hospital setting
  • Must have extensive computer skills in the following software programs: MS Word, Excel, PowerPoint
  • High level organizational skills and ability to multi-task in a fast-paced environment.
  • Must be able to adapt well to change.
  • Travel and procurement and 4 years general administrative office support.

Responsibilities

  • Coordinate and execute college events, conferences, meetings, and special programs from planning through completion.
  • Manage event budgets, purchasing requests, invoices, contracts, and financial reconciliations.
  • Coordinate travel arrangements and reimbursement processing for faculty, staff, guests, and visitors.
  • Ensure compliance with UAMS, state, and departmental policies related to travel, procurement, and financial transactions.
  • Serve as a liaison with vendors, campus departments, and external stakeholders.
  • Prepare financial reports, budget summaries, and post-event analyses.
  • Maintain accurate records and documentation for travel, procurement, and event-related activities.
  • Provide exceptional customer service and administrative support to faculty, staff, alumni, donors, and visitors.
  • Identify opportunities for process improvement and operational efficiencies.
  • Perform other duties as assigned in support of College of Nursing operations.
