About The Position

The Project Coordinator supports the installation/program team by maintaining accurate project data, coordinating administrative workflows, and assisting with financial tracking and documentation quality control. This role helps ensure projects are routed, set up, tracked, and billed correctly by partnering with Program Managers, Accounting, subcontractors, and internal stakeholders. The ideal candidate is organized, proactive, and capable of balancing multiple projects while maintaining strong attention to detail.

Requirements

  • 1+ year of experience in project coordination/operations support (or equivalent education/experience).
  • Working knowledge of billing and budgeting concepts; comfortable handling financial and documentation workflows.
  • Strong customer service orientation with excellent written and verbal communication skills.
  • Strong organization, reporting, and documentation skills; able to manage multiple priorities and deadlines.
  • Proficiency with MS Office (Excel, Word, Outlook); familiarity with Microsoft Project is a plus.
  • Experience with Salesforce preferred; experience with ERP/project tools (e.g., NetSuite/OpenAir) is a plus.
  • High School Diploma or equivalent required;
  • Must be able to obtain a Secret clearance.

Responsibilities

  • Enter newly routed projects into the designated project management/financial systems; validate required fields and support documentation.
  • Perform documentation quality control and auditing to ensure completeness, accuracy, and compliance with internal standards.
  • Support budgeting, cost tracking, and revenue recognition activities by maintaining updated project financial records and reconciling variances.
  • Record, review, and process subcontractor invoices; coordinate approvals with Program Managers and ensure proper documentation.
  • Provide billing inputs (revenue, accruals, invoicing support) to Accounting and support timely invoicing cycles.
  • Review monthly financial detail reports and investigate discrepancies in revenue and expenses; coordinate corrections as needed.
  • Assist Program Managers with day-to-day issue resolution (equipment constraints, missing inventory, scheduling conflicts, access/site readiness issues).
  • Support configuration management activities (document control, artifact tracking, and change history) as required by contract/customer.
  • Support subcontractor contract agreement execution by coordinating required documents and tracking status to completion.
  • Perform data mining, reporting, and database maintenance activities (including Microsoft Access database management where applicable).
  • Support onboarding and training for departmental new hires on tools, processes, and documentation standards.
  • Perform other duties and special projects as assigned.
