The Project Coordinator plays a key role in ensuring equipment reliability, preventative maintenance execution, and efficient coordination between technicians, engineers, vendors, and support teams. As a Project Coordinator, you will be responsible for planning, coordinating, and optimizing maintenance activities to support safe, compliant, and efficient manufacturing operations. This role partners closely with Maintenance Technicians, Engineering, Facilities, Metrology, Supply Chain, and external vendors to ensure work is properly scoped, planned, kitted, scheduled, and executed.

  • Requires minimum of 2 years of relevant experience.

Nice To Haves

  • Experience supporting manufacturing equipment in a regulated industry (medical device, pharma, aerospace).
  • Familiarity with Ariba, ReadSoft, and P‑card processes.
  • Experience with maintenance KPIs, PM compliance tracking, and audit support.
  • Knowledge of 6S, Kanban, and continuous improvement methodologies.
  • For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required.

Responsibilities

  • Generate, review, and manage maintenance work orders within the CMMS, ensuring accuracy, completeness, and compliance with site procedures.
  • Develop and maintain preventive maintenance (PM) plans, job plans, and schedules to minimize downtime and extend equipment life.
  • Create PM kits and coordinate vendor visits to support on‑time execution of maintenance activities.
  • Prepare and analyze heat maps and maintenance data to identify high‑priority assets and focus areas.
  • Support weekly Grand Rapids maintenance meetings, including agenda preparation and communication of upcoming PM activities.
  • Serve as a key CMMS power user, maintaining asset records, item numbers, drawings, PMs, job plans, and labels.
  • Track and report maintenance KPIs, PM compliance, and backlog metrics.
  • Troubleshoot and resolve CMMS‑related issues impacting PM execution or reporting.
  • Support parts management activities by working with the central store and maintenance teams to ensure material availability.
  • Interface with vendors through Ariba to obtain quotes, place orders, and follow up on critical spare parts.
  • Assist with invoice processing and issue resolution using ReadSoft, including timely submission of P‑card invoices.
  • Support service request intake and resolution while reinforcing quality and safety expectations.
  • Assist engineers and supervisors with audits, reports, and documentation related to maintenance, equipment, and compliance.
  • Participate in 6S audits and Kanban management, contributing to an organized and efficient maintenance environment.
