About The Position

The Project Controls Coordinator provides essential administrative and operational support to the Project Controls department and construction project teams. This role focuses on the routine maintenance of project data, document control, and assisting Project Managers with repetitive tracking tasks to ensure data integrity across company systems. This individual helps bridge the gap between the field, accounting, and the project controls teams. This role is based from the Downtown Houston office on a hybrid schedule (3 days in office, 2 remote).

  • 1–3 years of experience in an administrative or office support role, preferably within the construction or engineering industry.
  • Basic to Intermediate proficiency with Microsoft Office (specifically Excel and Outlook).
  • Experience with high-volume data entry and digital filing systems.

Nice To Haves

  • Familiarity with construction software (ProCore, Vista Viewpoint, or B2W).
  • Basic understanding of construction units of measure and quantity tracking.
  • Previous experience in document control or project coordination.

Responsibilities

  • Assist in the initial setup of project files and ensure routine data entry is completed within company business systems (Vista Viewpoint, ProCore, MS SharePoint, and B2W).
  • Support weekly updates to cost, hours, and quantity tracking logs based on field reports and invoices.
  • Assist Project Managers with routine change order administration, including compiling data and creating and tracking change events in ProCore.
  • Update progress reports by entering earned quantities and tracking completed work for non-construction activities.
  • Support the project document control process, ensuring all project controls files and reports are organized per the department standards.
  • Coordinate with field coordinator roles to monitor weekly timesheet submittal timeliness and provide project hours reporting.
  • Generate and distribute standardized weekly/monthly cost reports and KPI summaries for review by Project Controls Specialists.
  • Perform routine audits of data entry to ensure phase codes and budgets align with established company standards.
  • Coordinate tasks associated with recurring meetings (agendas, invites, and scheduling) as well as tracking action items and deadlines for departmental and project initiatives.
  • Drive accountability on the Project Controls team by enforcing established standards and processes.
