About The Position

The Project Controller is responsible for the financial oversight and tracking of assigned NorthStar Energy Services Engineering projects, including monitoring cost and spend against budget, processing and reconciling subcontractor and intercompany invoicing, and maintaining accurate job cost records across project life cycles. This role serves as a key point of coordination between Operations, Accounting, and Project Management, ensuring project financials are current, accurate, and audit-ready at all times. The Project Controller will also provide direct support to the proposal, scheduling, and project administration functions, helping the team move efficiently from bid to close-out.

Requirements

  • Associate or bachelor's degree in accounting, Finance, Construction Management, or a related field preferred; equivalent experience will be considered.
  • 2+ years of experience in project controls, project accounting, cost engineering, or a related role, ideally within pipeline, utility, or heavy civil construction.
  • Working knowledge of job costing concepts, including WIP, cost-to-complete, and revenue recognition on construction/service contracts.
  • Experience with ERP/job cost systems such as Spectrum, EcoSys, Viewpoint, or similar; strong Excel skills required.
  • Familiarity with subcontractor invoicing, lien waivers, and intercompany billing processes is a plus.
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects and deadlines simultaneously.
  • Clear, professional written and verbal communication skills; comfortable interfacing with Operations, Accounting, subcontractors, and clients.
  • Ability to work independently, prioritize competing demands, and escalate issues proactively.

Responsibilities

  • Track and maintain project cost and spend totals across all assigned jobs, comparing actuals to budget/forecast and flagging variances to Project Managers and leadership.
  • Maintain job cost records in Spectrum and forecasting/reporting tools (e.g., EcoSys), ensuring job numbers, AFE numbers, and cost codes are set up correctly and kept current.
  • Review, code, and process subcontractor invoices for accuracy against contract terms, purchase orders, and completed work; resolve discrepancies with subcontractors and field staff.
  • Prepare, review, and reconcile intercompany invoicing between NorthStar and affiliated Quanta operating companies, ensuring timely and accurate billing.
  • Support monthly cost forecasting, job cost reporting, and margin analysis in partnership with Project Managers and Accounting.
  • Assist with change order tracking and ensure approved changes are reflected in job budgets and billings.
  • Support proposal development by compiling historical cost data, pricing exhibits, and other supporting documentation for bids and change orders.
  • Assist Project Managers with schedule tracking and updates, helping monitor milestones, key dates, and look-ahead schedules.
  • Prepare and distribute meeting minutes and action item logs for project status, client, and internal coordination meetings.
  • Maintain organized project files, documentation, and reporting in accordance with company and client requirements.
  • Assist with month-end close activities, including accruals, WIP schedules, and job cost reconciliations.
  • Support internal and external audits by providing project cost documentation and back-up as requested.
  • Perform other project controls and administrative duties as assigned.
