About The Position

The Project Administrator is responsible for providing ongoing administrative support to the project manager and estimating teams by assisting with data entry, project reporting, billing/invoicing, and other project related work. This role is primarily site-based, with approximately 80% of time spent in Fort McMurray and 20% in an office setting in Edmonton or Calgary. This is a one-year temporary position (May 2026–May 2027), with potential for extension or transition to a permanent role.

Requirements

  • High School Diploma or equivalent.
  • Experience with MS Office.
  • Strong written and verbal communication skills with ability to multitask.
  • Self-starter with an ability to work independently or in a team environment.
  • Position will approximately be 80% site based and 20% office based.

Nice To Haves

  • Previous work experience as a service writer/project administrator is an asset.
  • Familiar with oil and gas industry, specifically electrical and instrumentation trades considered an asset.
  • Experience working with accounting and/or resource planning software considered an asset.

Responsibilities

  • Sets up project and sales contracts as per bidding requirements.
  • Creates and updates contractor purchase orders.
  • Assists the project manager with document control, updating and records monitoring.
  • Maintains sales price lists.
  • Monitors Work in Progress (WIP) orders that are waiting approvals providing bi-weekly reporting to WIP Managers and referring problem accounts to branch management, warehousing manager, and/or Administrative Manager as applicable.
  • Acquires necessary customer approvals for work tickets (email and/or OpenInvoice, Ariba).
  • Accommodates customer requests and deadlines, enters all customer related coding (AFE, PO, CC, WO #, etc.)
  • Communicates daily with technicians to resolve any ticket/material issues.
  • Works with estimating and purchasing teams to close out completed projects.
  • Works with the project manager and electrical and instrumentation estimators for project cost management.
  • Works with recruitment and human resources on logistics and onboarding for site-based staff.
  • Assists field technicians with issues in IFS (Aurena).
  • Participates/complies with company safety programs & company policies.
  • Other duties as required.
