About The Position

The Project Administrator will assist Operational Staff in daily activities required for schedule, budget, and quality control measures on various construction projects. This role involves initiating all project setups utilizing Procore Project Management Software, managing active and inactive Procore project lists, and integrating new users. Key responsibilities also include generating commitment attachments, obtaining and reviewing subcontractor Schedules of Values, and overseeing submittal log processes in accordance with contract requirements. The administrator will assemble bid packages, maintain project correspondence such as Requests for Information (RFI) and Meeting Minutes, communicate monthly project update reports, and assemble comprehensive closeout packages including maintenance agreements, equipment information, warranties, and contractor contacts. Additionally, the role involves inputting project close out information into SharePoint and assisting supervisors with final project costs.

Requirements

  • Associate's degree or equivalent work experience

Responsibilities

  • Compile New Project Notice information
  • Minutes for New Project Notice Meeting
  • Initiate all project setups utilizing Procore Project Management Software
  • Manage the active & inactive Procore project list
  • New User integration
  • Commitment Attachment generation (Contract agreements)
  • Obtain and review the subcontractor Schedule of Values
  • Oversee submittal log processes in accordance with requirements outlined in the contract document
  • Assemble bid packages for projects, potential change order pricing and review with the project manager
  • Maintain project correspondence for items such as Requests for Information (RFI), Meeting Minutes, and Production Quantity Reports
  • Communicate monthly project update reports
  • Assemble the closeout package, including maintenance agreements, equipment information, warranties, and contractor contact information
  • Project Close Out Information Input (SharePoint)
  • Final Project Cost (Supervisors)
