Requirements

  • One to three years of experience in office administration/coordination
  • Ability to work independently and as part of a team, as well as work under pressure and meet tight deadlines
  • Strong written and verbal communication skills
  • Ability to exercise good judgment in assessing the criticality of a situation, making decisions while recognizing the scope of authority and escalating to the appropriate individuals as needed.
  • Demonstrate a high level of professionalism and confidentiality in handling sensitive information, both internally and externally
  • Knowledge of Microsoft Office, various Google software, and general technology knowledge
  • Strong customer service orientation and pleasant telephone manner
  • Bilingualism (French and English)

Responsibilities

  • Perform daily administrative tasks and support EllisDon office operations, including reception and mail services, by responding and directing incoming calls in a prompt, professional, and courteous manner.
  • Welcome all visitors to the company and direct them to the appropriate meeting rooms, ensuring the appropriate person is notified of their arrival.
  • Prepare and document all outgoing mail, packages, and parcels internally and externally, and arrange for courier pick-up and delivery in a timely manner.
  • Organize internal meetings as required, which may include booking the appropriate meeting room, placing catering orders, coordinating with IT, preparing the meeting room, and cleaning up all items from meeting rooms.
  • Manage incoming and outgoing mail, documentation room schedules, various spreadsheets, and training material printing.
  • Ensure all meeting rooms are kept clean and well-stocked throughout the day.
  • Maintain the coffee machine and kitchen daily, placing orders for supplies and service calls as needed.
  • Assist managers with managing calendars, client follow-ups, industry event follow-ups, planning or organizing internal events, gathering report documents, email follow-ups, and urgent matters.
