About The Position

This is an exciting opportunity to join Avison Young's project management team and actively contribute to office fit-out and industrial projects for companies undergoing transformations. Whether it’s construction, renovations or the design of future office spaces, you will play a key role in creating inspiring and functional environments for our clients. As a Project Manager, you will be responsible for coordinating all phases of the project while collaborating with multidisciplinary teams and external partners. A natural leader, you will mobilize the necessary resources to achieve objectives while ensuring clear and effective communication with clients and stakeholders. We are looking for someone who is tech-savvy, comfortable with standard technological platforms and project management tools, and capable of leveraging technology to optimize processes and tracking. You must also possess excellent communication skills, both written and verbal, to ensure key information is conveyed effectively at all levels. Requirements

  • 10 to 15 years of relevant project management experience, preferably in the field of workplace design, or a combination of professional experience and relevant education.
  • University degree in project management, business administration, architecture, engineering, or a related field.
  • Bilingualism (French and English) is required, both spoken and written, with excellent grammar in both languages.
  • Strong understanding of architectural drawings and workspace planning principles, including the optimization of layouts, furniture, and ergonomics, as well as the ability to analyze and translate client needs into concrete solutions.
  • Excellent proficiency in Microsoft Office Suite, with particular expertise in MS Project, Smartsheet, and document management tools such as Box or similar.
  • Strong organizational skills with a proven ability to manage multiple priorities simultaneously while maintaining an analytical and strategic outlook.
  • Solid understanding of project management processes, including budget, schedule, risk, and resource management, and the ability to interpret project information with minimal data.
  • Excellent interpersonal skills, with the ability to communicate effectively with internal and external stakeholders, including at the executive level, and maintain strong professional relationships.
  • Attention to detail and the ability to manage based on multiple key performance indicators consistently and effectively.
  • Excellent written and verbal communication skills, with the ability to influence and achieve desired project outcomes.
  • Ability to anticipate risks, implement mitigation strategies, and monitor their evolution throughout the project.
  • Ability to adapt to flexible schedules and travel as required by the project, while maintaining effective priority management.
  • Ability to multitask and work both independently and as part of a team.
  • Valid driver’s license.

Responsibilities

  • Take charge of all stages of office fit-out projects, from initiation to final delivery.
  • Accompany clients and brokers during site visits, evaluating and commenting on the physical aspects of spaces that may influence location selection.
  • Build the team of professionals (architects, engineers, consultants) by leading interview processes, drafting and managing competitive tender calls, analyzing results, and presenting recommendations to clients.
  • Actively participate in the development of plans and specifications with clients and professionals, advising clients, proposing alternative solutions, and guiding them on best practices.
  • Prepare and maintain a project charter and a risk management plan, integrating new data as the project evolves.
  • Prepare and maintain detailed schedules, budgets, and cost tracking, including progressive billing for collaborators and producing regular reports for clients.
  • Advise clients on various construction contract options and guide the general contractor selection process, including preparing tender documentation, managing the tender process, responding to questions, analyzing results, presenting recommendations, and negotiating contracts.
  • Supervise the site, lead the teams, and ensure rigorous oversight of work, including analyzing and negotiating change orders.
  • Closely monitor the schedule by maintaining strong leadership, mobilizing stakeholders, and tightening efforts when necessary to meet deadlines.
  • Keep clients informed about project progress with clear and frequent communication, highlighting achievements, risks, and any adjustments needed.
  • Collaborate on the planning, procurement, and coordination of furniture, equipment (such as audiovisual, security, signage), and relocations, ensuring smooth execution and alignment with expectations.
  • Conduct weekly follow-ups with clients, including drafting accurate and professional meeting minutes.
  • Anticipate and resolve challenges or conflicts that may arise during the project, while maintaining a trusting relationship with clients and external partners.
  • Participate in presentations to potential clients to showcase project management services and promote the company.
  • Collaborate closely with the project management team, share knowledge, support colleagues, and guide project coordinators in their professional development.
  • Comply with all Avison Young policies and procedures, including but not limited to ethics and business practice.
