Requirements

  • Bachelor’s degree in finance, accounting, facility management, project management, or a related industry experience in the field.
  • Previous experience in facility management or project coordination would be an asset.
  • Strong organizational, analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple projects simultaneously and work under pressure
  • Proficiency MS Excel, Smartsheet and Sharepoint.

Responsibilities

  • Oversee building and construction project administration, including new construction, space buildouts, and facility expansions.
  • Track to ensure projects are completed on time, within budget, and meet quality standards.
  • Maintain regular communication records for the benefit of stakeholders, including city officials, contractors, and vendors.
  • Ensure documentation in compliance with facility and project management policies and procedures.
  • Ensure documentation in compliance with health and safety regulations per JCI policy and Worksafe.
  • Ensure documentation in compliance with emergency situations or breakdowns.
  • Track project performance measures and document progress.
  • Provide regular updates to stakeholders and ensure proper documentation is maintained.
  • Oversee the reporting and management of the financial operations of the facility ad projects.
  • Prepare as requested and maintain as required financial records, including budgets, forecasts, and financial statements.
  • Manage accounts receivable and payable, ensuring timely invoicing and payments.
  • Issuing of contracts in accordance with project and JCI policy.
  • Vendor Management to include invoice controls and sign off, payment terms met as contractually agreed, updates to vendor profile, vendor set up.
  • Contribute to the develop of and monitoring of budgets for facility operations and projects.
  • Prepare monthly, quarterly, and annual financial reports as requested.
  • Contribute to financial analysis to support decision-making and strategic planning.
  • Maintain a project pipeline report from inputs from Team Members.
  • Responsibility to learn and manage the information within specific JCI financial programming.
  • Ensure compliance with financial regulations and standards.
  • Coordinate and support internal and external audits.
  • Manage contracts related to facility maintenance and services.
  • Manage project related documentation as directed.
  • Oversee facility-related financial transactions and ensure cost-effective operations.
