About The Position

As a Service Project Administrator, under limited supervision, you are responsible for project set up and seeing them through to full completion with direct responsibility for project execution, to accomplish specific goals in a given time frame and with limited resources. This includes project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with customers, Service Managers, and other assigned project staff to ensure the timely completion of each project.

Requirements

  • High School diploma or GED and up to two (2) years of related experience and/ or training; or equivalent combination of education and experience.
  • Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
  • Ability to multitask and work well on a team
  • Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment.
  • Flexibility to work overtime/ weekends, as required.

Nice To Haves

  • Familiarity with the operation of HVAC Systems preferred, not required.

Responsibilities

  • Plans and reviews assigned projects, establishes schedules and project parameters and sets procedures to accomplish system goals.
  • Establishes and measures internal service process and associated compliance.
  • Maintains customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.
  • Connect and communicates with customers and their representatives, including building owners, mechanical contractors, other trades, subcontractors, and field support staff.
  • Schedule and participate in internal project team meetings to ensure accurate transfer of information.
  • Validates cost to date and reconciles project data in business system.
  • Reconciliation of purchase order discrepancies to support the Service fulfillment process.
  • Reviews billing backlog and coordinates/communicates with Service Managers, HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.
