About The Position

24/7 Motorcoach is seeking a motivated and adaptable individual to join their team as a Project/Admin Assistant. This role is ideal for someone eager to learn and grow in a fast-paced, deadline-driven environment. The ideal candidate is punctual, proactive, and willing to take on a variety of tasks, rather than a mundane office job. This position requires a broad range of skills or a strong willingness to learn new ones, supporting multiple departments within a dynamic small business setting. The company operates with five entities in one building, ensuring a consistently busy and engaging atmosphere. The assistant will be crucial in keeping the owner organized, informed of daily operations, and on schedule for meetings and deadlines. This role is not for the shy or meek, but for a 'unicorn' who thrives on variety and challenge.

Requirements

  • Skills in Company Projects/Execution - Licensing, Tax reports, Audits.
  • Skills in Sales Financing Paperwork - including credit apps, title work and sales tax reports.
  • Skills in Social Media - communicating with potential clients thru media platforms.
  • Skills in Business Applications and Account Set-up for businesses and vendors etc.
  • Skills in Scheduling - keeping management on schedule and track.
  • Skills in Bookkeeping.
  • Proficiency with computers, including Microsoft documents, Excel, and email.
  • People person with outgoing personality who loves to talk to customers.
  • Must be organized.
  • Must have the ability to MULTI-TASK.
  • Must have attention to detail.
  • Must have problem-solving skills.
  • Willing to learn.
  • Punctual and shows up to work.

Nice To Haves

  • Knowledge about quarterly tax filings a plus.
  • Quickbooks skills a plus.

Responsibilities

  • Provide excellent customer service in person, over the phone and through email.
  • Answer and direct phone calls, take messages and follow up with clients as needed.
  • Organize and schedule appointments.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Develop and maintain client and billing files.
  • Maintain contact lists.
  • Enter Invoices and file correctly.
  • Assist with Sales/Rental Contracts.
  • Assist General manager with various projects and tasks.
  • Assist Service writer with collections.
