About The Position

The Project Accountant II supports the financial administration and accounting functions of large capital improvement and Bond Program projects. This position is responsible for invoice processing, encumbrance management, financial reporting, account reconciliations, and ensuring compliance with bond funding requirements. The successful candidate will work closely with Finance and Accounting staff, project teams, vendors, and stakeholders to maintain accurate financial records and support effective program financial management.

Requirements

  • Minimum one (1) year of professional experience in invoice processing, accounts payable, project accounting, or a related financial role.
  • Experience reviewing and processing invoices, payment requests, and financial documentation.
  • Proficiency with Microsoft Office applications, including Excel and Word.
  • Ability to create, analyze, and interpret financial reports and supporting documentation.
  • Ability to perform historical trend analysis and recommend corrective actions.
  • Strong attention to detail and ability to identify discrepancies and inconsistencies in financial records.
  • Ability to work independently and collaboratively in a team environment.
  • Strong written and verbal communication skills.
  • Ability to effectively manage multiple priorities in a fast-paced environment.

Nice To Haves

  • Experience working with enterprise financial systems, project management information systems (PMIS), or accounting software is preferred.

Responsibilities

  • Review Bond Program invoices and encumbrances and process them in accordance with established accounting procedures.
  • Assist the Finance and Accounting team with analyses of ongoing financial activity related to the Bond Program.
  • Identify discrepancies or inconsistencies in invoice documentation and facilitate timely resolution.
  • Ensure invoice and encumbrance entries in PMIS (Proliance) are accurate and supported by appropriate documentation.
  • Resolve invoice and encumbrance integration issues between Proliance and Costpoint systems.
  • Evaluate payment requests to ensure compliance with applicable bond funding requirements.
  • Reconcile financial accounts and escrow bank statements.
  • Prepare and process journal entries, debit memos, and credit memos.
  • Assist in identifying accounting errors and developing solutions to reduce the risk of recurring discrepancies.
  • Develop financial reports and assist with form revisions to improve transparency into Bond Program expenditures.
  • Communicate with construction contractors, professional service providers, and vendors regarding financial matters as needed.
  • Coordinate with project teams, external stakeholders, and campus representatives regarding cost commitments, invoices, and expenditures.
  • Collaborate with internal departments to resolve invoice payment issues and obtain required approvals and authorizations.
  • Maintain accurate financial records and supporting documentation.
  • Perform additional duties and special assignments as requested by the Finance and Accounting Manager.
