About The Position

The Centre for Research & Innovation Support (CRIS) serves as a hub connecting expertise from the Division of the Vice-President, Research & Innovation (VPRI), University of Toronto Libraries (UTL), and Information Technology Services (ITS). CRIS aims to promote visibility, access, and value of research and innovation supports through a researcher-centric website and a physical location. It identifies emerging issues and delivers programming for researchers' professional development. The University of Toronto is seeking a collaborative, self-directed, and results-focused professional to join the CRIS team. Reporting to the Manager, CRIS Operations and Programs, the Programming and Events Coordinator will support the CRIS portfolio by scheduling and coordinating events and program offerings for faculty and divisional research offices. This role involves liaising with colleagues to schedule offerings, collecting, editing, and disseminating promotional materials, and providing orientation to related procedures. The Coordinator will also optimize resource utilization by scheduling CRIS resources like collaborative meeting spaces and technology, and making recommendations on event logistics. Additionally, the role includes collecting and collating data such as registration information and post-event evaluations. As a first point of contact, the Coordinator will identify stakeholder needs, create intake records, and coordinate follow-ups. Team members prepare meeting agendas and presentation materials, and maintain records and databases.

Requirements

  • Bachelor's Degree or equivalent combination of education and experience.
  • Minimum three (3) years’ relevant experience in planning, coordinating and executing logistics for small to large-scale programs and events
  • Demonstrated experience in meeting multiple and concurrent deadlines and working in a fast-paced environment
  • Proven ability to maintain information on digital platforms, including websites, e-newsletters, listservs and databases
  • Advanced proficiency with Microsoft 365 (Word, Excel, PowerPoint, Bookings) and e-mail software applications; proven ability to learn new systems and tools quickly.
  • Strong proficiency in virtual collaboration platforms, such as MS Teams, Zoom, SharePoint
  • Strong skills with website tools including WordPress or equivalent; and e-communication apps including Mailchimp or equivalent
  • Excellent interpersonal, customer service, and communication skills with the ability to interact with a wide variety of stakeholders including faculty and senior leaders in a tactful, polite, professional and diplomatic way
  • Excellent communication skills (oral and written); in order to prepare agendas, meeting materials and presentations and draft content for promotional materials
  • Demonstrated excellent organizational skills to independently prioritize own workflow and time management skills to handle multiple deadlines and events occurring within short and overlapping time periods.

Responsibilities
