About The Position

Duke Urgent Care delivers convenient, same-day care for non-life-threatening conditions through walk-in access and extended hours, ensuring patients have timely options outside of traditional office visits. The department provides efficient, patient-centered treatment for a wide range of acute needs while maintaining strong coordination with primary care providers to support continuity, improve outcomes, and reduce unnecessary emergency department utilization. As a Program Specialist, you will plan, coordinate, and support the development and operation of specialized programs or projects, while also developing, coordinating, and advising on policies related to these activities.

Requirements

  • A bachelor’s degree and a minimum of one year of experience in program administration or event production OR Two years of postsecondary education and at least three years of experience in program administration or event production OR An equivalent combination of education and professional experience.
  • Workforce scheduling principles, staffing models, and coverage planning
  • Time‑off tracking, shift differentials, and operational workflows
  • Organizational structures and coordination with leadership and frontline staff
  • Staffing coordination and schedule management across multiple roles or teams
  • Strong organizational, interpersonal, and written/verbal communication skills

  • Ability to manage complex, changing schedules and staffing needs

Responsibilities

  • Plan, coordinate, and support a variety of activities, including seminars, conferences, workshops, short courses, clubs, shows, and public events; develop program themes and ensure all logistics, materials, and resources are in place.
  • Provide administrative support to departmental staff; develop, coordinate, and advise on policies and procedures to support program goals.
  • Oversee assigned program activities, including developing and implementing processes, services, and systems; train staff and ensure accuracy and quality of work.
  • Keep supervisors informed on program status, needs, and challenges; identify issues and recommend practical solutions.
  • Monitor and evaluate program effectiveness; analyze trends and implement improvements to enhance performance.
  • Support public relations efforts, including developing and managing promotional materials such as brochures, newsletters, press releases, advertisements, and flyers; coordinate communication and response to inquiries.
  • Build and maintain relationships with internal teams and external partners to support collaboration and achieve program objectives.
  • Assist with budget and grant preparation; monitor and reconcile expenditures.
  • Prepare reports and conduct analyses to track progress and identify trends; contribute to program recommendations.
  • Perform other related duties as needed to support overall program operations.
