About The Position

This position provides skilled assistance to department staff as well as provides technically advanced services and computer application skills related to the compilation and distribution of research and data as needed by the association. Work is performed within established guidelines and procedures. The incumbent must exercise a high level of independent judgement, initiative, and discretion in the dissemination of sensitive information with minimal supervision.

Requirements

Bachelor’s degree or Associate degree & 2 years relevant experience or High School diploma/GED & 5 years relevant experience.
Extensive knowledge of CTA's organization and its administrative and policy-making bodies.
Ability to function effectively under considerable pressure and solve complex office problems independently.
Ability to prioritize multiple projects, adapt, and positively respond to changes in priorities.
Demonstrated ability to exercise sound judgment and initiative.
Demonstrated ability to exercise planning, coordinating, and follow-through skills as applied to large complex logistical projects with minimal supervision.

Ability to travel as needed.
Ability to work overtime as needed.

Responsibilities

Designs, coordinates, and implements processes for departmental projects.
Compiles information and creates/maintains databases using current technology.
Works with a variety of platforms in compiling and analyzing data from internal and external sources.
Tracks and analyzes member and leader participation in campaigns, member release time activities, trainings, and other department initiatives and priorities.
Arranges, prepares, and coordinates logistics for meetings, workshops, and trainings for the department.
Assists in the design, integration, review, and editing of training materials, including training manuals and other documents, presentations, and online courses.
Reviews and edits training materials for accuracy.
Edits reports and correspondence for style and correct English usage, grammar, punctuation, and spelling.
Drafts, edits, and prepares correspondence and reports for assigned staff and manager.
Responds to telephone and written inquiries regarding department’s programs and specific information.
Makes timely referrals to appropriate staff and/or ensures inquiries receive a response.
Schedules appointments, travel arrangements as requested, and maintains office calendars for assigned staff.
Plans, coordinates, and follows through on large logistical projects.
Provides assistance to department staff and any special campaigns or projects as assigned.
Answers telephones and responds to inquiries from the public, members, and staff as appropriate.
Prepares materials for meetings, conferences, and events.
Establishes and maintains files and records.
Performs other appropriate duties as assigned.
