About The Position

The Program Manager serves as a key site leader responsible for supporting high-quality program execution, staff coaching, member engagement, volunteer coordination, and day-to-day operational excellence. Working in partnership with the Unit Director or General Manager, the Program Manager helps ensure a safe, engaging, and well-organized Club environment while supporting staff development and consistent implementation of organizational standards. The Program Manager spends a significant portion of their time actively supervising programming, coaching staff, observing member engagement, supporting volunteers, and addressing operational needs. This role serves as a visible leader during program hours and helps ensure a positive experience for members, families, staff, and volunteers.

Requirements

  • Minimum of 48 college units required
  • Minimum one year of experience working with youth
  • Strong organizational, communication, and relationship-building skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong problem-solving and decision-making skills
  • Proficiency in Office 365 and organizational systems
  • Ability to establish priorities and meet deadlines
  • Must report suspected child abuse in accordance with California law
  • Must be authorized to work in the United States

Nice To Haves

  • Bachelor's Degree preferred
  • Previous leadership, supervisory, or coaching experience preferred
  • CPR and First Aid Certification preferred or facilitated upon hire
  • Valid TB clearance in accordance with organizational requirements

Responsibilities

  • Maintains a physically and emotionally safe environment through active supervision, sound judgment, and adherence to organizational safety standards.
  • Ensures programs are delivered consistently, effectively, and in alignment with organizational expectations.
  • Supports staff growth through observation, feedback, modeling, and ongoing mentorship.
  • Communicates clearly, professionally, and proactively with youth, families, volunteers, staff, and leadership.
  • Builds positive and productive relationships with members, families, volunteers, school personnel, and community partners.
  • Identifies challenges early and develops practical solutions while utilizing available resources and support systems.
  • Contributes to environment of safety through the learning and implementation and monitoring of all safety-related best practices, policies, and procedures.
  • Promotes accountability to safety through consistent observation, adherence to all safety rules and practices and proactive communication among members, parents, peers, and leadership.
  • Obtains and maintains Mandated Reporter training and completes annual Child Abuse Prevention training.
  • Is trained and understands school district Emergency Response procedures and ensures the consistent execution of Emergency Preparedness protocols across all school sites, including drills and communication practices.
  • Spends a meaningful portion of each program day actively supervising programming.
  • Observes staff interactions, member engagement, transitions, and program delivery.
  • Provides real-time coaching, feedback, and support to staff.
  • Models effective youth development practices and positive behavior management strategies.
  • Monitors implementation of organizational program standards.
  • Identifies opportunities to improve program quality and member experience.
  • Assists with implementation of quality improvement plans and organizational initiatives.
  • Supports consistent execution across all program areas.
  • Supports onboarding and training of new staff.
  • Reinforces organizational expectations, policies, and procedures.
  • Provides ongoing coaching and mentorship to program staff.
  • Shares observations and recommendations with the Unit Director or General Manager.
  • Supports implementation of staff development plans and performance goals.
  • Leads by example and models professionalism, accountability, and positive culture.
  • Assists with staff coverage and program support as needed.
  • Recruits, onboards, trains, and supports volunteers.
  • Ensures volunteers complete all required screening and onboarding requirements.
  • Coordinates volunteer assignments and schedules.
  • Tracks volunteer hours and impact metrics.
  • Cultivates positive volunteer relationships.
  • Supports volunteer recognition and appreciation efforts.
  • Ensures volunteers are appropriately integrated into Club operations.
  • Fosters positive relationships with parents and guardians.
  • Serves as a visible and approachable leader during program hours.
  • Supports communication efforts with families.
  • Addresses family concerns professionally and promptly.
  • Partners with families to support positive youth outcomes.
  • Helps create a welcoming and inclusive Club environment.
  • Ensures assigned reports, attendance records, and operational tasks are completed accurately and on time.
  • Monitors daily attendance and member participation trends.
  • Supports staffing, scheduling, and operational processes.
  • Ensures facility and operational checklists are completed consistently.
  • Maintains accurate documentation and records.
  • Escalates concerns and operational challenges appropriately.
  • Supports implementation of organizational systems and procedures.
  • Supports membership recruitment and retention efforts.
  • Monitors attendance trends and communicates concerns to leadership.
