About The Position

This position will provide support for calendar management, agenda, communications, and projects as requested by the Division Director. These items require significant communication and collaboration opportunities across Vanderbilt Health and will develop strong relationships with peers across the medical center to encourage collaboration. Frequently requires after business hours communications and changes. Requirements

  • Program Management (Intermediate): Planning, organizing, and managing resources to bring about the successful completion of specific program goals and objectives.
  • Financial Processes (Intermediate): Ability to monitor costs, expenses and revenue as well as the ability to manage those costs and expenses in relation to budgeted amounts.
  • Process Improvement (Intermediate): Identifies, analyzes and improves upon existing business processes for optimization and to meet standards of quality.
  • Peer Leadership (Intermediate): The ability to show leadership and influence people of equal rank in an effort to accomplish team goals.
  • Networking (Intermediate): Build relationships through industry contacts, professional organizations and individuals.
  • Quality Management (Intermediate): Developing a systematic process of checking to see whether a process or service is meeting specific requirements.
  • Bachelor's degree
  • 3 years of relevant work experience

Responsibilities

  • Track, submit and assist with the Division Director expense reports, reimbursements, travel expenses and planning and coordination with the recruitment office as needed for recruitment related expenses.
  • Will maintain, develop, revise and assist in presentations for division meetings and other meetings as requested by the Division Director. Will assist in leading and directing meetings such as the daily leadership huddles.
  • Update and maintain Faculty and Staff distribution lists and keep division wide meetings (Faculty Meeting, etc.) updated as faculty and staff on/offboard. Keep track of Division wide publications, achievements, and other data points as required by Vanderbilt Health, DOM and as requested by the Division Director. Data is reported out monthly, quarterly and annually depending on the audience.
  • Provide administrative support and program support to Division Managers as needed. Some faculty onboarding support will be expected as support for Business Process Manager and Administrative Manager.
