About The Position

We are seeking a highly organized and proactive Program Manager to oversee the operational and financial management of our Gastroenterology and Hospice & Palliative Medicine Fellowship Programs. This role partners closely with Program Directors to ensure compliance with accreditation standards, supports trainee success, and manages all aspects of program administration. The Program Manager is responsible for the operational and financial management of Gastroenterology/Hospice and Palliative Medicine fellowship training programs. In collaboration with Program Directors and reporting to the GME Supervisor, the position requires a comprehensive and detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment.

Requirements

  • 1+ years of administrative experience in healthcare, medical education, or higher education.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities independently and maintain strict confidentiality.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).

Nice To Haves

  • Experience with residency management systems is a plus.
  • Knowledge of graduate medical education and accreditation processes preferred.

Responsibilities

  • Manage day-to-day operations of fellowship training programs and support Program Directors.
  • Ensure compliance with ACGME, institutional, and regulatory requirements.
  • Coordinate trainee recruitment, onboarding, orientation, evaluations, scheduling, and graduation activities.
  • Maintain program databases, records, websites, and communications.
  • Oversee ERAS, NRMP Match processes, credentialing, licensing, contracts, and visa-related documentation.
  • Organize conferences, meetings, educational events, and recruitment activities.
  • Monitor budgets, process purchases and payments, and assist with annual financial planning.
  • Support accreditation reviews, site visits, and program quality improvement initiatives.
  • Serve as a key liaison among trainees, faculty, hospital departments, and external partners.
