About The Position

Under administrative review, develops, implements, and administers one or more programs for an association, non-profit or similar organization. Provides analysis and financial accounting to ensure timely project completion and compliance with sponsor requirements. This position requires a professional who thrives in a close-knit team environment, contributes collaboratively, and is willing to assist with work at all levels as needed to support Faculty Affairs operations. This role requires the ability to manage multiple priorities, adhere to strict and often time-sensitive timelines, and demonstrate a strong commitment to completing work accurately, thoroughly, and on schedule.

Requirements

  • Bachelor's degree with two years of relevant experience required.
  • Two years of experience in project management, program administration, program development, or supervision required.

  • Master's degree in Health Administration, Business Administration, or related field preferred.

Responsibilities

  • Implements and coordinates all faculty development programs and initiatives across the Faculty Development and Success portfolio, translating approved plans into detailed timelines, task lists, and execution workflows in collaboration with the Office of Faculty Affairs (OFA), academic departments, and institutional partners.
  • Works in close collaboration with other members of the Faculty Development and Success team across different functions to ensure smooth handoff and completion of day‑to‑day operational and administrative tasks related to faculty development programs and events.
  • Organizes and maintains shared files with up-to-date documentation using standardized version control for both documents that are created in-house and those that are sent by vendors and others, to support efficiency and alignment with the leadership and team.
  • Manage relationships with external vendors supporting faculty development events and programs, including coordinating logistics, gathering required documentation, and obtaining and/or developing contracts, invoices, and other related materials for review and approvals.
  • Manages the execution of on-site and virtual faculty development events, advances, courses, and training programs, including but not limited to agenda operationalization, speaker logistics, registration workflows, communications schedules, and day‑of support.
  • Maintains an integrated calendar and execution timeline for faculty development programs and events, ensuring activities are sequenced appropriately and aligned with approved priorities.
  • Develops and maintains event execution materials (e.g., run‑of‑show documents, speaker trackers, logistics checklists, communications templates) to support consistent and high‑quality program delivery.
  • Manages participant operations for events and programs, including but not limited to registration support, attendance tracking, reminder communications, and post‑event follow‑up activities.
  • Coordinates logistics and communications with faculty speakers, facilitators, and internal partners to ensure clarity of expectations and timely completion of assigned tasks.
  • Serves as a liaison and point of contact between the OFA, academic departments, business administrators/directors, faculty, and leadership regarding Faculty Development and Success programs and events.
  • Supports program tracking/evaluation activities by coordinating survey distribution, monitoring response rates, compiling aggregated results, and preparing summary data for review by team leadership.
  • Prepares routine program status updates, timelines, and execution summaries for the team leadership to support oversight of faculty development initiatives.
  • Oversees and maintains Faculty Development and Success-related items in the OFA Outlook inbox and disseminates email information to team members.
  • Oversees and maintains Faculty Development and Success pages on OFA SharePoint sites and related content, ensuring documentation, forms, guidance materials, and resources are current, accurate, accessible, and aligned with Faculty Affairs processes.
  • Assists with basic budget tracking and logistical coordination for events and programs (e.g., materials, catering, speaker arrangements), in accordance with established processes and approvals, and provides team leadership and OFA administration personnel with approved receipts and invoices.
  • Maintains and refines standard operating procedures, templates, and tools for recurring faculty development activities to promote efficiency, consistency, and continuity.
  • Attends and supports faculty development events and activities, and other OFA activities as applicable, to ensure smooth execution and responsiveness to faculty and stakeholder needs.
  • Facilitates and participates in meetings, training, and working sessions related to faculty development; prepares agendas, materials, and follow up communications as needed.
  • Occasional travel to Charlotte may be required
