About The Position

The Continuing Education (CE) team, within the Office for External Education (OEE) at Harvard Medical School (HMS), provides accreditation and support for educational activities sponsored by the 15 HMS Affiliate Hospitals. Reporting to the Assistant Director, Program Development, the Program Manager, Affiliate Programs (PMAP) is responsible for all workflows related to post-approval programmatic support. The incumbent manages a dynamic team of coordinators, monitoring timelines, implements program initiatives and ensures the delivery of consistent customer service to HMS Faculty course planners. Working closely with a cross functional team of CE and OEE colleagues, the incumbent demonstrates a commitment to proactive conflict resolution, issue escalation, and maintains a culture of continuous quality improvement to ensure that all JA/ACCME and HMS policies are adhered to. Occasional weekend or off-hour work may be required.

Requirements

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 5 years’ relevant work experience
  • Experience in program/project management, hospital, or university accreditation settings
  • Experience in managing people
  • Knowledge of Microsoft Office Suite, advanced Excel skills
  • Strong written and verbal communication skills
  • Excellent project management skills
  • Proficiency in various software applications is essential

Responsibilities

  • Manages the day-to-day operations of the program support team, monitoring deadlines and providing guidance to staff members regarding the prioritization of workload
  • Oversees the program support staff, including hiring, training, development, corrective action and performance evaluations
  • Provide exceptional customer service to affiliate course planners and internal stakeholders, ensuring compliance with accreditation and HMS policies and procedures
  • Develop and maintain program standards to ensure consistency of communication and support for all accredited activities
  • Lead quality assurance (QA) efforts to ensure accuracy, consistency and compliance for all course materials, evaluations, learner data and learner communications
  • Manages the course evaluation and credit claim processes to ensure timely delivery of participant results and accuracy of participant records to all accreditation and medical/clinical boards
  • Manages CE Livestream services, partnering with OEE core function colleagues to ensure the seamless delivery of livestream course support
  • Serve as the departmental liaison to the course planner community, communicating HMS, AMA, and JA/ACCME policies and criteria as related to educational activity support
  • In partnership with the Program Manager, Educational Development and Accreditation, maintain precise and comprehensive activity files for accreditation documentation, clinician credentialing, and financial reports mandated by JA/ACCME, HMS and industry supporters
  • Collaborate with Program Manager, Educational Development and Accreditation to identify compliance vulnerabilities and implement corrective measures, advising course directors on compliance issues
  • Stay informed of current ACCME/JA, AMA, and Medical Board policies and criteria, maintaining accurate activity files for accreditation documentation
  • Works independently and collaboratively with other CE managers and OEE core function colleagues to identify and implement improvements across the course lifecycle workflow, fostering a collaborative and supportive team environment
  • Independently manages projects as directed by CE Leadership team
