About The Position

Kent, Campa and Kate Incorporated (KCK) is seeking candidates for a Program Coordinator position in Arlington, VA at the National Foreign Affairs Training Center (NFATC). The Program Coordinator will handle administrative and substantive duties including office management, course support, program coordination, research, and content/materials creation for the Econ division of the Diplomatic Tradecraft and Regional Area Studies Training directorate (DTET). This role requires excellent judgment and initiative to independently manage routine business and solve non-routine issues as part of a team.

Requirements

  • At least one (1) year of graduate level education in Foreign Affairs; International Relations; Sociology; and/or related social science disciplines.
  • At least three (3) years of educational technology experience.
  • Strong knowledge in use of virtual course delivery platforms such as Zoom, WebEx, Teams, Slido, etc.
  • Virtual producer skills including troubleshooting, ability to guide participants on resolving issues, and high-level knowledge of platform capabilities.
  • Knowledge Management proficiency.
  • U.S. Citizenship.

Responsibilities

  • Research potential course topics, including microlearning, articles, and videos.
  • Identify and help develop useful case studies for in-class projects and discussions.
  • Prepare professional materials such as slides, presentations, literature reviews, briefing papers, analysis, and spark pages.
  • Provide classroom set-up and break-down.
  • Attend local events to increase program-related knowledge for course and program development.
  • Collaborate with course teams to support, update, and maintain FSiLearn Program templates and create course cohorts.
  • Provide scheduling and administrative support for FSiLearn functionality, grant access to course teams, and verify participant enrollment.
  • Provide FSiLearn support via email, phone, Teams, or in-person, including diagnosing and resolving technical problems.
  • Escalate complex technical issues to POCs and follow up on resolution.
  • Perform office management duties such as scheduling appointments, facilitating meetings, drafting correspondence, and monitoring supplies.
  • Prepare invitation letters for guest speakers, ensuring compliance with NFATC rules and timelines for fund obligation and payment information.
  • Schedule and reconfirm speakers, notifying the course chair of changes and proposing modifications.
  • Maintain a system for tracking speakers, invites, and honoraria.
  • Arrange meetings, including selecting times, reserving space, notifying participants, and preparing reports.
  • Identify cumbersome processes and propose improvements.
  • Utilize the centralized evaluation system (CES) for distributing, tracking, and reporting on 360 surveys.
  • Maintain an Excel database of courses, chairs, facilitators, mentors, and cohort preparation status.
  • Provide on-demand operational status reports of directorate courses on FSiLearn.
  • Track and assign Zoom for Government accounts and support virtual classes.
  • Prepare course materials administratively (photocopying, posting links, etc.), prepare name tents, door signs, and manage classroom preparation and cleanup.
  • Handle audio-visual requests, GSO requests, and coordinate logistical arrangements with the program assistant/training technician.
  • Reserve rooms for all courses and negotiate room needs with other program offices.
  • Track registration/enrollment data daily and prepare enrollment reports.
  • Contact students as needed to verify enrollment.
  • Prepare drafts of scenarios and briefing documents for speakers.
  • Ensure guests and speakers are on the visitor’s list and escorted to classrooms if necessary.
  • Liaise with students, instructors, and speakers to obtain document clearances, provide guidance and support, and offer in-class support.
  • Advise students on course enrollment, NFATC policies, and required materials.
  • Prepare, disseminate, and collect surveys, evaluations, and needs assessment questionnaires.
  • Collect data related to evaluations, needs assessments, or other similar activities.
  • Set up and maintain NFATC systems and programs including FSiLearn, SharePoint, and the Student Information System (SIS).
