This position, reporting to the Director of Education Administration and collaborating with other key leaders, serves as the operational lead for administrative operations and strategic initiatives within the Education team. The Program Coordinator will manage competing priorities and drive process improvements across three training programs (externship, internship, and clinical postdoctoral) with limited oversight.

Requirements

  • Bachelor's degree or equivalent in business administration, health care administration, or related field, or an equivalent combination of education and relevant experience.
  • Proficiency in using various Microsoft Office applications (Word, Excel, Access, PowerPoint, Outlook).
  • Familiarity with Internet applications.
  • Effective oral, written, communication, and interpersonal skills.
  • Ability to interface effectively with all levels of management.
  • Ability to work and communicate effectively with both internal and external customers.
  • Ability to work within a team environment as well as independently.
  • Time management skills and ability to work well under pressure.
  • Ability to Project/Program manage and multitask while paying attention to details.
  • Qualified candidates must be able to effectively communicate with all levels of the organization.

Responsibilities

  • Provide administrative oversight for the psychology training programs, maintaining communication with trainees, faculty, and leadership.
  • Serve as the primary liaison between faculty and trainees, resolving day-to-day issues and escalating as needed.
  • Schedule and manage training sessions, including EPIC training, didactic series, and Intern Seminar.
  • Coordinate logistics for training events, including room reservations and catering.
  • Act as the point of contact with Bellevue and NYU stakeholders to secure necessary equipment and resources.
  • Manage end-to-end reimbursement processing and trainee budget tracking.
  • Monitor and manage trainee schedules and attendance, proactively identifying and resolving conflicts.
  • Lead planning and execution of trainee wellness initiatives and track associated metrics.
  • Manage and provide updates on APPIC and institutional training requirements and reporting.
  • Lead implementation of training program changes and evaluate their impact.
  • Proactively maintain all documentation required for periodic program accreditation applications.
  • Maintain the Program Manual and all associated policy and procedure documentation.
  • Maintain comprehensive records on trainees and graduates, preparing program statistics and reporting.
  • Monitor psychology training budgets and flag variances in partnership with directors.
  • Maintain the psychology shared drive and OneDrive accounts.
  • Track and report on trainee productivity in partnership with clinical mission staff and the Director of Psychology Training.
  • Serve as the primary point of contact for prospective applicants, managing all correspondence.
  • Lead planning and execution of annual interview days, coordinating faculty schedules, applicant logistics, and day-of operations.
  • Design and lead execution of the annual orientation week program.
  • Update recruitment materials as needed.
  • Lead the annual onboarding and credentialing process for new trainees and provide credential verification for graduates.
  • Serve as liaison with the state office of the professions for limited practice permitting for psychology postdocs.
  • Administer and analyze periodic evaluations of faculty, trainees, and the training program.
  • Ensure full completion of all evaluations by trainees and faculty.
  • Lead planning and execution of annual departmental events for psychology trainees.
  • Lead regularly scheduled education and psychology training meetings, setting agendas, driving follow-up, and overseeing minutes.
  • Partner with the Social Work Program Coordinator to integrate social work trainees and supervisors into psychology programming.
  • Attend Education team research meetings and participate in research-related activities.
  • Support recruitment of research subjects, execute research protocols, and manage participant payments.
  • Perform other duties as assigned.
