About The Position

The Program Coordinator, Transportation is responsible for inputting and scheduling daily and medical transportation, updating manifests, and notifying drivers of schedule changes. This role operates under general supervision and requires initiative in carrying out recurring assignments independently. The employee will also be responsible for creating the daily bus schedule, maintaining the department calendar, creating and distributing a monthly transportation newsletter, assisting older adults with MBTA CharlieCard applications, responding to general GATRA questions, providing customer service, monitoring driver certifications, scheduling driver trainings, coordinating vehicle maintenance, completing monthly and annual reports, and arranging for drug testing for bus drivers. The position also serves as backup support for the Front Desk.

Requirements

  • High School degree or equivalent with one to three (1-3) years related work experience; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.
  • Valid driver’s license.
  • Pass a CORI/SORI and background check.
  • Proficient personal computer skills.
  • Recordkeeping and clerical skills.
  • Proficient written and oral communication skills.
  • Effective customer service skills.
  • Ability to interact effectively and appropriately with the public and co-workers.
  • Ability to communicate in person and on the telephone with the public, particularly older adults.
  • The ability to relate to older adults in a comfortable fashion with genuine interest, compassion and concern for their needs and feelings.
  • Knowledge of common policies, practices and procedures of the department and office operations.
  • Knowledge of laws and regulations pertinent to position functions.
  • Working knowledge of the Internet in support of department operations.

Responsibilities

  • Input and schedule daily and medical transportation.
  • Update manifests as required.
  • Notify drivers of changes to schedules.
  • Create the daily bus schedule using Schedules Plus.
  • Provide drivers with their daily schedules and communicate any schedule changes throughout the day.
  • Maintain the department calendar, including driver work schedules and days off.
  • Create and distribute the monthly transportation newsletter to patrons.
  • Assist older adults with completing MBTA CharlieCard applications and respond to general GATRA questions.
  • Provide courteous, responsive, and professional customer service to patrons.
  • Answer questions, address concerns, and manage all incoming transportation calls and emails.
  • Work with patrons to help ensure their transportation needs are met.
  • Monitor renewal dates for drivers’ licenses, medical certifications, and CORI checks.
  • Schedule required driver trainings and maintain accurate, up-to-date training records.
  • Coordinate vehicle maintenance needs with GATRA and ensure appropriate follow-up.
  • Complete monthly reports as required by the GATRA contract.
  • Complete the annual report as required by the GATRA contract.
  • Arrange for bus drivers to complete drug testing when selected.
  • Serve as backup support for the Front Desk.
