About The Position

As a member of the Sales team, the Program Coordinator organizes, executes and communicates the details of an assigned outdoor program and acts as the liaison between sales and other internal departments. This role ensures that orders are entered accurately and on time, product and item data is correct, and that the right information reaches production, logistics, merchandising, and stores. This is not an administrative role; it requires organization, follow-through, comfort with Excel, and the confidence to chase down information. The outdoor season is concentrated into an intense spring window with high volumes and extended hours, while the off-season is steadier. This position is a genuine entry point into the sales organization, with opportunities for growth into program management.

Requirements

  • Confident, independent Excel skills, including XLOOKUP/VLOOKUP, basic queries, and troubleshooting formulas.
  • Availability during peak season, including early starts and Saturday work through spring.
  • Proficiency across MS Office Suite (Outlook, Teams, Word, PowerPoint, SharePoint).
  • Strong organization, multitasking, and time management skills.
  • Reliable follow-through, initiative, and proactive communication.
  • Strong problem-solving instincts and a sense of urgency.
  • Accurate data entry and strong attention to detail.
  • Comfort with ambiguity and a willingness to learn.
  • High school diploma or equivalent.

Nice To Haves

  • Experience in order entry, replenishment, inventory, logistics, warehousing, or retail operations.
  • Experience with an ERP or order management system.
  • Experience building or maintaining reports in Excel.
  • Experience in a business with a busy season.
  • Post-secondary education.

Responsibilities

  • Process orders and POs accurately and on time, including changes, not-availables, and discrepancies.
  • Manage order lines, inventory allocation, cart recipes/kits, and Plant-line orders.
  • Maintain item and catalogue data, including pricing, SKUs, article setup, signage, and labels.
  • Prepare sales reports (daily, weekly, seasonal, ad hoc) and analyze the data.
  • Maintain the shipping tracker and order sheets; support inventory and AR investigations.
  • Troubleshoot order and reporting issues, addressing the root cause.
  • Liaise with production, logistics, picking, and merchandising to flag issues proactively.
  • Communicate plans, cost/retail changes, and shipping details to teams, head office, stores, and carriers.
  • Document processes and records; build playbooks, catalogues, and training materials.
  • Support the Account Manager and contribute ideas to program development.
  • Handle any other tasks that may arise.
