About The Position

Primary civil background screening coordinator for the NCJA, iCORI, and SAFIS systems to ensure proper and accurate criminal record information is made available in accordance with the Massachusetts General Laws and established policies and procedures. This role involves researching and processing civil background check requests, reviewing and screening criminal background requests, conducting further research through query of relevant databases and systems, and ensuring FBI CHRI and CORI records are accurately classified and screened. The position also includes answering calls and emails regarding iCORI or SAFIS related records, assisting callers with firearms license applications, researching and analyzing user-reported issues, processing paper iCORI requests, and assisting with intern training.

Requirements

  • Two years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis.
  • A Bachelor's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
  • A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
  • Experience with NCJA, iCORI, and SAFIS systems.
  • Knowledge of Massachusetts General Laws related to criminal record information.
  • Ability to research and query relevant databases and systems.
  • Ability to accurately classify and screen FBI CHRI and CORI records.
  • Strong communication and customer service skills for assisting callers.
  • Ability to analyze and resolve user-reported issues.
  • Experience processing and disseminating requests.

Responsibilities

  • Research and process civil background check requests received daily in various online candidate queues including SAFIS, iCORI, and NCJA.
  • Review and screen criminal background requests prior to distribution in various queues and stages for disposition type, offense type, incarceration release dates and several Criminal Offender Record Information levels of access in accordance with the Massachusetts General Laws.
  • Conduct further research through query of relevant databases and systems to ensure accurate results are being disseminated.
  • Ensure FBI CHRI and CORI records are accurately classified and screened in accordance with applicable laws.
  • Ensure FBI CHRI and CORI records are screened daily and records identified that may require additional research.
  • Answer Civil Background Services main line and email to assist callers with questions regarding iCORI or SAFIS related records.
  • Answer the firearms license hotline to assist callers with name/address changes, retrieving PINs, and providing the status of firearms license applications.
  • Research and analyze questions and/or issues reported from end users regarding issues encountered with the use of the iCORI and SAFIS, and escalates issues accordingly.
  • Process and disseminate paper iCORI requests.
  • Assist with the training of interns.
  • Perform other related duties as required and directed.
