About The Position

Program Coordinators handle a variety of administrative and substantive duties to include office management, course support, program coordination, research, and content and materials creation for the Diplomatic Tradecraft & Emerging Technologies directorate, Area Studies division (DTET/AS). Each individual works as a member of a team in accomplishing program specific and office-wide priorities. Program Coordinators are expected to demonstrate excellent judgement and initiative while independently managing routine business and determining the best solutions to non-routine issues.

Requirements

  • At least one (1) year of graduate level education in Foreign Affairs; International Relations; History; Anthropology; Sociology; and related social science disciplines.
  • OR a BA and at least two (2) years of graduate-equivalent level research experience either in an academic or policy context in the fields mentioned above
  • Proficient with research software (e.g., ProQuest) and reference materials.
  • Proficiency in Excel, PowerPoint, Word, Zoom, and Outlook.
  • Candidates must possess U.S. Citizenship.

  • Experience in creating and analyzing Qualtrics surveys.

Responsibilities

  • Research and ensure course topics remain current; design and produce educational materials (microlearnings, articles, videos).
  • Develop case studies for class discussions and projects.
  • Prepare professional materials such as slides, literature reviews, briefing papers, and analysis reports.
  • Contribute to course design, development, and evaluation.
  • Facilitate classroom activities and run course sections when needed.
  • Attend local events to enhance program knowledge.
  • Manage office duties: scheduling, facilitating meetings, drafting correspondence, and monitoring supplies.
  • Prepare and manage invitation letters and tracking systems for guest speakers.
  • Arrange and document meetings; identify and propose process improvements.
  • Prepare and manage course materials, classroom setup, and logistical arrangements.
  • Reserve and manage room assignments; track enrollment data and prepare reports.
  • Schedule and manage speakers, ensuring all are properly escorted and supported.
  • Provide in-class and virtual support, including managing Zoom for Government accounts
  • Prepare, disseminate, and collect surveys and evaluations; maintain program websites.
  • Collect and analyze data related to program evaluations and needs assessments.
  • Notify external offices of policy changes; prepare written guidance and reports
  • Mentor and train interns; maintain the PA Handbook.
  • Assist in planning and logistics for special events (e.g., speaker series, workshops).
  • Conduct annual course reviews for compliance and assist with course catalog review.
  • Draft and format briefing books, special reports, and official notices.
  • Support the Area Studies On-Demand program, including managing workshops and rapid research.
